Job Summary
As a Catering Sales Coordinator for Levy, you'll be responsible for helping to achieve annual sales and profit goals related to group sales events. You will work in partnership with operations to deliver "The Levy Difference" and ensure exceptional guest experiences.

Essential Duties and Responsibilities:
•    Provide essential clerical and administrative support.
•    Ensure that appropriate Group Sales materials (e.g., sales kits, event menus, and signage) are always available.
•    Manage multiple projects concurrently, meeting all deadlines.
•    Provide timely assistance to Group Sales management to ensure all catering services exceed guest expectations.
•    Efficiently manage the distribution of sales inquiries.
•    Foster strong, collaborative relationships with Group Sales managers and Operations teams.
•    Handle VIP non-group reservations with professionalism and world-class hospitality.
•    Communicate all group sales bookings regularly and efficiently across relevant teams.
•    Ensure accessibility of current competitors’ menus for reference.
•    Manage the Levy Preferred program in a professional, efficient manner.
•    Maintain an active customer database sourced from marketing activities.
•    Help ensure all Banquet Event Orders (BEOs) are entered, updated, and finalized in a timely manner.
•    Process invoices and other financial documents on a timely basis.
•    Ensure that all financial figures are collected, entered into the Sales Comparison document, and distributed promptly.
•    Complete all assigned projects in a timely and professional manner.
•    Provide clerical support, including filing, copying, and typing of letters/memos.

Required Qualifications
  • Communication: Excellent written and verbal English communication skills are required.
  • Technology Proficiency: Proficient use of office equipment and advanced knowledge of Microsoft Office applications (Word, Excel, etc.) is essential.
  • Vision & Focus: Ability to maintain close vision and focus for viewing computer screens and company documents.
 
Physical Requirements:
  • Ability to remain seated for extended periods while performing administrative tasks.
  • Ability to stand/walk for extended periods during event days.
  • Ability to talk and hear to conduct phone and in-person correspondence.
  • Schedule Flexibility: Must be flexible with your schedule and available to attend/execute special events outside of normal work hours.
  • Travel: Ability and willingness to travel as required.
