The Workforce Planning Assistant provides administrative and operational support for recruitment and onboarding activities. This role assists with New Employee Orientation (NEO), candidate communication, interview coordination, badge processing, and employee file management. The Workforce Planning Assistant helps ensure hiring events and onboarding processes run smoothly and in compliance with company standards.

ESSENTIAL DUTIES, RESPONSIBILITIES and OVERSIGHT: The duties below reflect the minimum requirements for this position.
  • Onboarding and Hiring Support
  • Facilitate the sign-in process for New Employee Orientation (NEO) and hiring events, both onsite and offsite.
  • Administer NEO testing, confirm pass/fail results, and communicate outcomes to appropriate stakeholders.
  • Assist in preparing new hire packets, including uniform sizing, test results, probationary documentation, and meal break acknowledgments.
  • Conduct candidate interviews and document pass/fail outcomes.
  • Monitor and address dress code compliance during NEO sessions.
  • Candidate Communication and Coordination
  • Review, respond to, and follow up on emails from the LA Hiring Inbox.
  • Answer incoming phone calls and provide accurate information to prospective and current employees.
  • Log all calls for training, tracking, and quality assurance purposes.
  • Badge and Profile Management
  • Schedule badge appointments for new hires and existing employees (including replacements for lost or damaged badges).
  • Ensure complete badge setup, including badge, sleeve, and lanyard.
  • Upload badge photos and NEO documentation to the employee’s WISH profile.
  • File and Data Management
  • Create and maintain employee files in accordance with company policies and procedures.
  • Upload required NEO forms and ensure documentation is complete, accurate, and properly filed.
  • Perform other duties as assigned.
  • Preferred Qualifications
  • Strong organizational and communication skills.
  • High attention to detail with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite.
  • Familiarity with HRIS systems (e.g., WISH) preferred.
  • Ability to work onsite in an office environment and attend offsite hiring events.
  • Flexibility to work extended hours during peak hiring or onboarding cycles as needed.

EDUCATION AND/OR EXPERIENCE:
  • High school diploma or equivalent required.
  • Associate or bachelor’s degree in human resources or a related field preferred.
  • 1–2 years of experience in recruiting support, human resources, or administrative roles.
LANGUAGE ABILITY:
Ability to read and interpret documents such as event files and state regulated rest and meal break policies
MATH ABILITY:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
COMPUTER & EQUIPMENT SKILLS:
To perform this job successfully, an individual should have knowledge of Microsoft Word; Microsoft Excel; Microsoft Explorer; Microsoft Outlook; Microsoft PowerPoint; and Microsoft Share point. Must become proficient on company Protatech Scheduling program and SORT online training program.  
TRAVEL: 
Depending on business needs, travel may be required.
