JOB SUMMARY:
We are seeking a highly organized and experienced Risk Specialist to support the company’s growing corporate risk management program. This position plays a critical role in protecting our workforce, supporting operational continuity, and ensuring compliance with state and federal regulations. The Risk Specialist reports directly to the Senior Corporate Risk Manager and is based out of our Northridge, CA office.
This role focuses on the hands-on management of workers' compensation claims, supporting ACA and benefits compliance, and coordinating corporate and fleet insurance processes. The ideal candidate demonstrates exceptional attention to detail, professionalism, and discretion in handling sensitive information.
JOB RESPONSIBILITIES:
Workers' Compensation Claims Support:
- Serve as one of the primary contacts for workers' compensation claims, collaborating directly with branch staff.
- Lead the coordination of initial incident investigations by collecting statements, medical reports, and relevant documentation.
- Track claims from initiation to closure, maintaining regular contact with adjusters, injured employees, and internal stakeholders.
- Prepare wage statements and required documentation; respond to subpoenas related to workers’ compensation claims.
- Identify potential subrogation opportunities and report findings to management.
- Assist in coordinating work accommodations and return-to-work plans with branches.
- Maintain accurate OSHA logs and ensure timely submission of federal and state-required injury reports.
- Support data analysis of claims trends to inform safety and loss prevention strategies.
- Maintain strict confidentiality and ensure compliance with HIPAA and related privacy standards.
ACA and Benefits Compliance Support:
- Assist in monitoring Affordable Care Act (ACA) compliance, including accurate monthly and annual eligibility tracking.
- Support benefits team in managing enrollment and termination of employee health benefits.
- Contribute to the preparation and submission of annual IRS 1094/1095 filings.
- Communicate clearly and professionally with employees regarding eligibility status and benefits options.
Corporate, Vendor & Fleet Insurance Administration:
- Assist with annual insurance renewal processes, including data collection and application completion.
- Support insurance audits and documentation related to general liability, auto, and workers’ compensation policies.
- Monitor third-party vendor certificates of insurance (COIs) to ensure compliance with minimum coverage requirements.
- Manage MVR reviews for company drivers and coordinate with branch managers to ensure eligibility compliance.
- Distribute and track completion of required driver safety training modules across branches.
Administrative Support & Special Projects:
- Maintain well-organized records and databases related to claims, insurance, and compliance.
- Support ad hoc reporting, data entry, and administrative projects as assigned by the Risk Manager.
REQUIREMENTS:
Knowledge of:
- Workers' compensation laws and regulations, especially in California.
- Insurance claims handling practices, especially workers’ compensation and auto.
- Basic medical terminology related to occupational injuries.
- Federal regulations concerning employee benefits (ACA), OSHA reporting, and employee privacy (HIPAA).
Skills and Abilities:
- Maintain confidentiality and handle sensitive matters with discretion and professionalism.
- Collect, organize, and analyze detailed information to ensure accuracy and completeness.
- Communicate effectively across all levels of the organization—written and verbal.
- Prioritize competing tasks and manage time efficiently in a dynamic environment.
- Work independently while collaborating cross-functionally.
- Proficient in Microsoft Office 365 Suite (Excel, Outlook, Word, PowerPoint, SharePoint).
Education and Experience:
- Bachelor’s degree in Risk Management, Business Administration, Human Resources, or related field; or equivalent experience.
- 2–4 years of hands-on experience in workers' compensation claims management, insurance coordination, or risk administration.
- Prior experience supporting ACA compliance and insurance renewals is preferred.
- Professional certifications (e.g., WCCA, ARM, CRM, OSHA-30) are a plus but not required.
