THE ROLE
In your role as Food & Beverage Finance Coordinator, you'll play a crucial part in the success of our financial operations in the Food & Beverage Department. Your responsibilities will encompass a diverse range of administrative tasks and operational support for the Finance and Food & Beverage Departments. This includes collaborating closely with all staff to ensure the smooth day-to-day functioning of the department. Your duties will involve handling various administrative functions such as managing inventory, overseeing purchases, recording invoices, managing licenses, contributing to the hiring process, creating schedules, and participating in sales and cost reporting. Additionally, you'll be an active participant in daily operational duties as required, adding flexibility and adaptability to your role.
WHAT TO EXPECT
  • Prepare and maintain accurate records for pre-event planning, cost estimates, client requests, billable charges, service orders, contractual requirements, and final billing accounting.
  • Learn and become proficient in Clover, our integrated point-of-sale (POS) system.
  • Plan, implement, and operate Clover, enter and maintain data, run reports, process cash & credit card sales during and after events, and run settlement reports.
  • Order, receive, and manage product inventory.
  • Input and receive invoices into Clover and ensure they are coded correctly and turned into Finance.
  • Reconcile NPO commissions and ensure accounting receives proper paperwork.
  • Assist in preparing various sales reports and weekly operational reports as required.
  • Maintain a variety of files and records of information such as budget, event files, and expense reports.
  • Prepare signage for F&B operations, and change menu items in menu boards, Clover, etc.
  • Attend appropriate planning, organization, event, and facility meetings in support of F&B elements for facility operations.
  • Oversee and coordinate scheduling for F&B Department including part-time, temporary, and NPO staff while adhering to union labor contract.
  • Contact, recruit, and coordinate non-profit organizations to support concession operations for the venue.
  • Assist with all aspects of hiring and onboarding for F&B Dept. including interviewing, orientation, and training.
  • Oversee all aspects of uniforms for F&B Dept.
  • Implement corrective action procedures with employees whose performance or conduct does not meet required levels in conjunction with Human Resources.
  • Maintain close communications and work cooperatively with F&B Managers, Event Managers, Finance, Human Resources, and all other staff.
  • Ensure compliance with all Savor F&B policies and procedures.
  • Ensure customer service, customer satisfaction, and all money-handling procedures meet or exceed ASM Global/The Oncenter standards.
  • Other duties as assigned.
EDUCATION & EXPERIENCE
  • Associates degree from a 2- or 4-year college or university; and
  • 1-2 years related experience and/or training in finance, food & beverage operations, point of sale systems, inventory accounting, database entry; or
  • Equivalent combination of education and experience.
  • Experience in Human Resources and knowledge in Clover POS System, Reserve, and ABIMM Timekeeping System a plus.
SKILLS YOU’LL NEED
  • Demonstrate working knowledge of Food & Beverage operations, including inventory, invoices, and purchasing procedures.
  • Must be proficient with a Windows computer and have good working knowledge of Microsoft Outlook, Excel, Word, and Adobe PDF. Must be able to learn and apply computer applications quickly.
  • Requires ability to work extended and flexible hours including nights, weekends, and holidays in addition to normal business hours.
  • Ability to communicate in a clear, professional, and courteous manner which fosters a positive, enthusiastic and cooperative work environment.
  • Organize and prioritize work to meet deadlines while multitasking between job functions.
  • Work effectively under pressure and/or stringent schedule to produce accurate results.
  • Ability to work well in a team-oriented, fast-paced, event-driven environment.
  • Ability to make professional, independent, and good judgment decisions within proper policy and procedures.
  • Exceptional hospitality and customer service skills, service standards, guest relations, and etiquette.
PHYSICAL ABILITIES
  • Must be able to walk/stand/sit for long periods of time.
  • Ability to work in a noisy, fast-paced environment.
  • Must have the physical ability to maneuver around the venue, at times walking and/or standing for 8-10 hours or greater, climbing stairs, lifting and carrying 50 lbs+, and frequent bending, reaching, kneeling, and squatting.
