SUMMARY:

Under direct supervision of the Director, the Event and Box Office manager will oversee event coordination and set-up of outdoor events, and Lodge events.  Position oversees ticket sales and all aspects of the on-site box office operation.  

Essential Duties and Responsibilities:

  • Organize all aspects of facility operations related to events.

  • Meet with client group to plan and organize assigned meeting and/or event.

  • Coordinate activities with various service contractors for assigned meeting and/or event.

  • Manage all sponsorship signage and make sure all is in place pre-event and down post event.

  • Directs and oversees the internal control of daily box office operations.

  • Communicate event information and personnel needs for the venue in a timely manner.

  • Works with event promoter and appropriate personnel to establish ticket pricing and seating configuration as needed.

  • Gather all necessary ticketing setup information from promoters and/or tours, completes ticketing build sheet, and submits to Select-A-Seat for build. 

  • Monitors daily ticket sales for all upcoming events and communicates information to the Director and promoter representative.  

  • Serve as box office seller at the Lodge on most non-event days and some event days for scheduled box office hours.

  • Work with Amphitheater Director on scheduling Manager on Duty (MOD) rotations for Lodge events.

  • Assigned event manager responsibilities for Lodge activities.

  • Prepares and presents the final box office statement and audits to the Finance Department for settlement of each event as needed.

  • Establishes files on each event that consist of seats on-hold for the building and promoter, complimentary ticket vouchers, sightline holds, trouble holds, event audits and ticket inventory schedules.

  • Coordinates promoter requests to utilize ticketing initiative such as Groupon, Vet Tix, etc. and work with area businesses on ticketing as needed.

  • Communicates need for ticket sellers to Select-A-Seat and supervises ticket sellers as to the proper selling procedures during events as needed.

  • Maintains accurate record of daily balance of cash received, tickets sold and change bank/vault.

  • Prepares and submits a daily report of business transactions to facility personnel.

  • Demonstrates excellent customer service skills, responds promptly to customer needs, responds to requests for service and assistance, able to work independently and handle most office box questions without assistance.

  • Works with Amphitheater Director to fulfill hospitality needs and other Artist rider requests.

  • Coordinate and oversee day of show activities in the absence of the Amphitheater Director.

  • Assist in grassroots marketing efforts such as printing and distributing show posters, coordinating ticket trades and giveaways with local businesses, and other promotions as needed.

  • Manage and coordinate press related duties during events including TV station coverage, on-site radio, photographers, and reviewers.

  • Coordinate and develop efforts to enhance Artist and Fan Experience at events.

  • Serve as venue lead in providing updates related to event times, weather, and other critical information on the venue’s website and social platforms on show days.

  • Assist with maintaining venue website.

  • Manage venue’s digital boards by uploading marketing ads, sponsorship displays, and event-day weather information as needed, in addition to turning boards off and on during performances.

  • Regular attendance is an essential job function.

  • Position requires the ability to work at all Legend’s Global venues in Wichita and Andover.

  • Performs other duties as assigned.   

Supervisory Responsibilities:

Manage the Ticket Sellers or other Box Office staff at the Amphitheater.  Responsible for the overall direction, coordination, and evaluation of this unit. Carries out supervisory responsibilities in accordance with company policies and applicable laws. Responsibilities directing work in conjunction with Human Resources; addressing complaints and resolving problems.

Education and/or Experience:

  • Bachelor’s degree preferred

  • Minimum three (3) years of related experience or equivalent combinations of education and experience.

  • Experience in accounting and customer service essential

  • Supervisory experience

  • Experience working with ProVenue Ticketing system a plus

Knowledge, Skills and Abilities:

  • Excellent communication, problem solving and organizational skills.

  • Demonstrated knowledge of accounting and financial procedures, including record keeping and reconciliation.

  • Ability to analyze data and figures.  

  • Knowledge of supervisory principles and practices.

  • Ability to coordinate and schedule staff.

  • Demonstrated knowledge of ticket selling/box office operations.

  • Maintain an effective working relationship with clients, employees, exhibitors, patrons and others encountered in the course of employment.

  • Ability to work with minimal supervision.

  • Ability to work flexible hours based on events, including daytime, evening, weekends and holidays as needed.

  • Must be able to work outside, this is an outdoor Amphitheater.

  • Must have professional attitude and appearance.

  • Tact, diplomacy, and discretion required in all matters.

Physical Demands:

This position requires sitting, stooping, finger dexterity, personal mobility for getting around the facility, and lifting up to 30 lbs.  Must be able to use a computer, write, type; use phone, cell phone, and radio. This position is outside the facility on event days and during event set-up.  Must be able to endure temperature extremes, both hot and cold.
