Job description:
Join a dynamic team at a premier sports and events facility! We are seeking a highly organized and detail-oriented Administrative Assistant to support daily operations, scheduling, billing, and communication with both internal teams and external partners. This role is essential to maintaining accurate records, assisting with staffing coordination, and ensuring operational efficiency across multiple departments.
Key Responsibilities:
- Manage and submit billing sheets for scheduled events
- Review, total, and process paper timesheets from staffing vendors
- Track daily time punches and address discrepancies with site leadership
- Coordinate with HR on rehires and support payroll/PTO inquiries via ADP
- Maintain spreadsheets of hours worked per venue and track overtime
- Calculate pricing and verify billing accuracy with temp agencies
- Submit documents and timesheets into AODOCS
- Support management and supervisors with training on processes
- Order and track office supplies; respond to general inquiries
- Serve as backup Admin at other venues when needed
- Attend weekly internal and client meetings
- Other duties as assigned
Qualifications:
- High School Diploma or GED required
- 2+ years of administrative or office experience
- Strong Excel and data entry skills; Microsoft Office proficiency
- Ability to multitask and meet deadlines in a fast-paced environment
- Strong communication skills and customer service mindset
- Previous experience in the service or hospitality industry preferred
Physical Requirements:
- Occasional lifting (5–30 lbs.)
- Extended periods of walking or standing
- Frequent keyboard use and repetitive tasks
