Under general direction of the Director of Competition Licensing, Evaluation & Safety, the primary focus of the Administrative Assistant is to provide advanced administrative assistance to all members of the Competition Licensing, Evaluation & Safety department.  The Administrative assistant monitors Pending and Comparable competitions in the US Equestrian competition database (AHSD) and assists in the management of the US Equestrian Competition Calendar. This position also provides member service and technical assistance to competition managers, secretaries, and licensees related to the online Competition Management Dashboard online competition renewals.  The Administrative Assistant provides clerical support, scanning, and electronic filing of documents, including, but not limited to, Accident/Injury Reports, Competition Report Addendums, License Agreements, Change Requests, and Cross Country Fall Forms.  This position assists the Managing Director of Competitions in the processing of competition rating reclassifications and processes License Cancellations and Competition Contact/Manger/Secretary updates.  This individual is responsible for complying with the US Equestrian Document Destruction and Retention Policy and other duties as assigned by the Director of Competition Licensing.
  •  Calendar Management: Reviews and monitors Pending, Comparable, and Unapplied Competitions in AHSD to ensure timely renewals and approvals of competitions.  This includes the applicable contact and follow up with competition managers regarding a lack of application, license issues, and outstanding agreements. Verifies that data in AHSD is correct and accurate while conducting follow up regarding competitions. 
  • Document Retention/File Management: Performs scanning, uploading, and filing in accordance with US Equestrian Document Retention Policies.
  • Provides Member Service and Technical Assistance to competition managers, secretaries, and licensees related to the online Competition Management Dashboard as well as to Stewards/TDs relating to competition and accident reports.
  • Competition File Modifications: Processes contact, manager, and secretary change requests and cancellations requested by Competition Management.
  • Assists the Managing Director of Competitions in the processing of competition rating reclassifications, issuance of reclassification letters, and applicable License Agreements.
  • Performs general clerical duties associated with Competition Licensing, Competition Steward and Technical Delegate Reports, and Accident Reports.  Assists with the implementation of Quality Control Programs. Processes application to collect Mandatory participation fees from Affiliated Associations.
EDUCATION – Associate’s degree or higher required. High school diploma plus two years of experience may substitute for degree requirement (in addition to experience outlined below).  EXPERIENCE – At least one year of office or clerical experience required.  Experience in the equine industry is strongly preferred.   

SKILLS AND ABILITIES: Strong oral and written communication skills are requiredMust be proficient in Microsoft Office applications, particularly Outlook and Word.  Attention to detail, excellent typing ability, and capability of handling ever-changing priorities are required.  Working knowledge of equestrian sport, equine background, and knowledge of Federation rules preferred.
