JOB SUMMARY: 
This position supports the Sport Department’s mission to put in place programs that will identify talented athletes and horses, assist with their development, and achieve success in international competition. This position will play a strong role for both the administration of programs as well as the day-to-day support that the Sport Department provides to the membership. This will include collaborating with various organizations, departments, committees, and communities; ensuring effective communication among stakeholders; administering related programs; and assisting the Directors with accounting and other related activities. 
 
This is an exciting time for the Sport Department as it continues to grow; this role will develop and change and is an ideal opportunity for a self-motivated, committed and driven person interested in working with FEI sports. The role may also involve supporting the delivery of the logistic plans for Championships and Games as well as occasionally supporting the Olympic disciplines and Vaulting.
 
Duties and Responsibilities:
  • Answers telephone calls, responds to inquiries, provides information (including Rules), takes messages, and refers calls when appropriate. 
  • Secures Flights, Rental Cars, and hotels for Federation / Team staff and athletes  
  • Provides general clerical, logistical, and secretarial assistance in the form of:  mailing packages, calendar management, meeting notices and minutes, updating discipline-specific webpages and newsletters, tracking submission deadlines, and maintaining records of Team Staff Contracts.
  • Helps to ensure Reining / Endurance /Driving information on website is clear, accurate, and current.
  • Assists with the management of annual rule change proposals, reviews and processes Technical Delegate reports, and processes Presidential Modification requests.
  • Assists with tasks relating to Sport Programs (for example – Emerging Athlete Programs).
  • Processes travel expense reimbursements and credit card statements. Assists with aspects of tracking expenses.
  • Assists with the management/distribution of horse and human clothing.
  • Assists with logistics prior to and during identified competitions, training sessions, and events across all disciplines.
  • Assists with owner appreciation projects, maintaining records of horses/athletes
  • Assists with managing Safe Sport and Background Check requirements
  • Assists providing coaching and coach development support
  • Entering coaches into database
  • Support to coaches attending education programs & courses
  • Communication with USOPC and FEI Coaching
 
Required, Knowledge, Skills & Abilities:
  • Excellent attention to detail and sense of planning and organization.  
  • Ability to work independently.  
  • Ability to collaborate and communicate effectively amongst both internal and external stakeholders.
  • Maintain a high level of performance in stressful situations. 
  • A working knowledge of equestrian sport, especially the FEI disciplines, is preferred.
  • Proficient in MS Office programs such as Excel, Word, and Outlook.
  • Extended hours of availability and periodic travel may be required.
 
Education and Experience:
  • High School diploma or equivalent required.  
  • Some college preferred.
  • One year of office/clerical experience required. (Bachelor’s degree may substitute for experience requirement.) 
  • Practical experience within high performance sport preferred.
 
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift and carry up to 25 pounds at times.
