Administration/General Management: Administrative/Executive Assistant

Positive Coaching Alliance, a national, non-profit organization based in Mountain View, California (San Francisco Bay Area), with seventy staff distributed in eighteen chapters across the country, is seeking an enthusiastic, organized, self-starter to assist our Development Team by providing fundraising and administrative support. The ideal candidate will be personable, have excellent oral and written communication skills, pay close attention to detail, and the ability to engage effectively with our headquarters staff and Development Team. We are looking for a teammate with a zeal for our mission to provide young athletes with a positive, character building youth sports experience to create Better Athletes, Better People. This is an entry-level position, working out of PCA's headquarters office in Mountain View, CA.   

Position Summary:  Working closely with members of the National Team, and reporting to the Director of Development, the Development Associate will be responsible for recording and managing all donations, assisting with events and special projects, and supporting the Development Team with funder research, writing or editing projects, and building connections with donors and funders.

Key Duties & Responsibilities: Reporting to the Director of Development (DD), and assisting the Development Manager (DM), this entry-level role is responsible for supporting the Development department with fundraising, administrative and clerical functions. Duties include:

  • Record donations 
    • Record accurate, timely, detailed donor and gift information in Salesforce, working closely with DD or DM, paying close attention to campaign, donor and gift details. 
    • Prepare and send timely gift acknowledgment and tax letters to donors and grantors.
    • Update all written tax acknowledgments, stewardship letters and pledge forms.
    • Maintain daily donation check log.

  • Research funding sources 
    • Working with other team members, identify and report other sources of donations and support. 
    • Develop profiles of prospective funders (individual, grant, sponsor). 
    • Assist in the development of donor materials. 

  • Administrative and event suppor
    • Provide administrative and fundraising support, such as support for donor mailings, development communications and management of the development calendar. 
    • Support organizational and department events, such as board and/or committee meetings, special events, including National Youth Sports Awards and Benefit (NYSAB), and special projects. 
    • Additional duties may be assigned as needed. 

Knowledge, Skills, and Abilities:
  • General record keeping and filing systems (paper & digital).
  • Experience with Excel/Google sheets, functions and formulas.
  • Organizational skills and ability to prioritize workflow, meet schedules and deadlines.
  • Excellent English written and communication skills.

Qualifications & Characteristics of Ideal Candidates:
The Development Associate will be a motivated self-starter with 2 - 5 years of work experience, preferably in fundraising in a non-profit organization, with a bachelor’s degree in English, fundraising, public management, or a related field. 
  • Bachelor’s degree (Associate’s degree and experience will be considered)
  • 2 - 5 years of recent nonprofit experience in a fundraising, administrative or sales role

  • Excellent computer skills (experience with Google Suite preferred)
  • Salesforce (or similar donor database/CRM) experience preferred
  • Strong organizational skills, ability to manage multiple projects and meet deadlines 
  • Flexibility, sense of humor, willingness to go the extra mile
  • Ability to collaborate with colleagues across the organization (headquarters or remote)
  • Ability to handle sensitive donor information in a confidential manner
  • Willing and able to periodically work extended hours to assist events, meetings and projects
