As a member of the World Championship Team, ensure that the highest level of service is provided at the World Championship Events, IRONMAN 70.3 Hawai`i, and support as needed with the AWMM Partnership. Assist in all race operations as necessary ensuring the smooth functioning of the event working with the World Championship Region, including staff, partners and volunteers.  
 
Principal Duties and Responsibilities Essential Functions: 
Support Athlete Services in all areas of operations as needed, and perform all related responsibilities when necessary this includes but is not limited to the following:
1.     The support of athlete/volunteer/sponsor/vendor requests which includes phone calls as well as responding or re-directing e-mail from athlete services e-mail inboxes
2.     Answering phones, greeting public, overall administrative support as needed
3.     Be an ambassador of IRONMAN at all times
4.     Support Athlete Services with maintaining, creating and updating spreadsheets
5.     Perform other duties for the IRONMAN Operation as assigned
6.     Principle tasks and programs for Athlete Services for the World Championship Region: 
  •     IRONMAN 70.3 Hawai`i 
  •     IRONMAN 70.3 World Championship 
  •     IRONMAN World Championship 
  •     PC Drawing 
  •     Hawai`i Residency 
  •     Legacy 
  •     Global Qualifying Coin Distribution 
  •     Military Division Management 
7. Dynamic 365 Inbox management: 
  •     IRONMAN 70.3 Hawai`i 
  •     IRONMAN World Championship 
 
Principle tasks for IRONMAN 70.3 Hawai`i: 
1.     Support Athlete Services to implement and maintain the policies and procedures for the Athlete Registration process which reflects the highest standard of operation and athlete service.  This includes but is not limited to the following:  
  • Help to ensure the athlete database is maintained
  • Assist with the continuous facilitation of athlete requests which includes phone calls as well as responding or re-directing e-mail from Dynamic 365
  • Assist as needed with the coordination and processing of each application
  • Assist with overall Athlete Services Print Needs but not limited to the following:
  1. Envelopes 
  2. Waivers 
  3. Reports 
  4. Inserts 
2.     Assist Athlete Services with Post-Race Shipping and Wrap-up: 
  • Lost and Found 
  • Awards 
  • Athlete finisher materials
  • USAT Post Race Reports
  • Waivers
  • Athlete Packets: deconstruct and inventory packets not picked up in Athlete Check-in 
3.     Assist with the coordination and organization of the race office operations during race time.  These responsibilities will include assisting in the day to day operational responsibilities as well as the following (but are not limited to): 
  • Assist with move, set-up and daily operations of the race office 
  • Work with and assist the Volunteer Directors throughout race time operations 
  • Ensure that all details are resolved regarding athlete registration and/or special athlete 
  • Assist as needed with Athlete Check-In the management of athletes and their USA Triathlon insurance, ensuring each athlete is appropriately registered with USA Triathlon
 
Principle tasks for IRONMAN 70.3 World Championship:
1.     Support Athlete Services as needed with IRONMAN 70.3 World Championship to ensure World Championship Standards are met 
2.     Assist with Global Qualifying Coin Distribution 
3.     Manage the IRONMAN 70.3 World Championship Registration follow-up for qualified and invited athletes 
 
Principle tasks for IRONMAN World Championship:  
1.     Support Athlete Services establish, implement, and maintain the policies and procedures for the Athlete Registration process which reflects the highest standard of operation and athlete service.  This includes but is not limited to the following:

Ho`ala Training Swim

  • Post-race inventory of shirts, swim caps and finisher medals

8.     Assist with the coordination and organization of the race office operations during race time.  These responsibilities will include assisting in the day to day operational responsibilities as well as the following (but are not limited to): 
  • Assist with move, set-up and daily operations of the race office 
  • Work with and assist the Volunteer Directors throughout race time operations 
  • Ensure that all details are resolved regarding athlete registration and/or special athlete packets 
  • Assist as needed with Registration the management of athletes and their USA Triathlon insurance, ensuring each athlete is appropriately registered with USA Triathlon

Education and work experience: 
1.     High School Diploma
 
Skills and knowledge: 
1.     Excellent human relations skills, with a talent for motivating volunteers. 
2.     Good organizational skills with the ability to work independently as well as with a team. 
3.     Computer literate, possessing skills in Microsoft Office, Outlook including word processing and spreadsheet applications. 
4.     Ability to function under pressure, set priorities and adjust to changing conditions. 
5.     High work ethics, with sense of responsibility for the role filled within the team. 
6.     The desire to share a proficient knowledge of IRONMAN and the great variety of services that define the IRONMAN World Championship.
