Administration/General Management: Administrative/Executive Assistant
Event Collateral
  • Manage collateral calendar to ensure all production deadlines are met
  • Responsible for designing and building out all event collateral, including but not limited to Spectator Guides, regional Traffic Impact Notices, Final Information, Event Posters, Athlete Guides, and Event Schedules
  • Work directly with Race Directors and Athlete Services team to ensure accuracy in all event Athlete Guides, making any necessary updates as they occur
  • Oversee the editorial process for all Event Schedules and Athlete Guides
  • Work directly with the Athlete Development team to ensure the Tri Club and IRONKIDS program details are included in necessary collateral
  • Work directly with the IRONMAN Foundation and Account Managers to ensure charity and partner inclusions are incorporated into Athlete Guides
  • Manage collateral timeline and ad placement with the sales team
  • Manage the posting of all event collateral to event sites
  • Promote collateral on social media
  • Work directly with appropriate vendor to ensure on-time production and delivery of all event collateral

Information Services Design
  • The responsibility of select collateral pieces will be shared amongst the Information/Athlete Services team
  • Assist with website design and editing

Athlete Services Event Assist
  • Event Assist is responsible for traveling to designated events and assisting Athlete Services Team Lead on all tasks and duties during event week.

Banquets Assist-subject to change
  • Banquet Assist is responsible for traveling to designated events to execute banquet planning on-site

Position Requirements
  • College Degree
  • Strong attention to detail
  • High degree of organization
  • Ability to travel (approximately 10-12 weeks) per season
  • Ability to work under tight deadlines
  • Ability to work well with a team and adjust to changing scenarios quickly and effectively
  • Exceptional written and verbal communication skills
  • Proficiency in Microsoft Office
  • Proficiency in Adobe InDesign
  • Ability to lift 25-30 pounds
  • Strong Editorial Skills
  • Reports to Athlete Services Manager

Work Environment:
Office Environment is an open floor plan with little privacy.
  • Average weekly workload is between 40-60 hours, but may commonly require long hours including evening and/or weekend hours throughout the year.
  • When at an event, employees may be exposed to adverse weather conditions and long on-site hours
  • When traveling to an event employees will share hotel rooms, flights, taxis and rental cars
