IRONMAN creative services project coordinators are able to anticipate and head off problems that can jeopardize project deadlines. They are organized and have the ability to stay focused on the big picture and prioritize competing responsibilities. Our project coordinators interact with a variety of departments and brands and inspire confidence in the event that timelines need to be renegotiated or additional resources are needed to complete a project. They are pragmatic and remain focused on getting work done with the resources available to them.

The Project Coordinator must be familiar with project scopes and project objectives, as well as the role and function of each team member, to effectively coordinate the activities of the team. We are specifically interested in project coordinators that have experience working in an agency setting.

Responsibilities Include:
  • Project Initiation and Download - Gathers and drafts project information including schedule and project brief. Project brief contains all information required by the team to complete the project. This may include printing specs, technical requirements, content, brand guidelines. Project schedule includes all milestones with due date and time and responsible party. Conducts and leads download meeting with creative team to communicate all project specifications, requirements, and deliverables.
  • Job Status Management - Notifies all party’s when schedule is in jeopardy due to missing information. Follows up with department/brand as necessary to meet schedule until information is received.
  • Manages Projects in Basecamp - Manages all project initiation materials in Basecamp. Assures history is provided for repeat jobs from the most recent version. Assures all project-related information is included in the Task/To-do and Notes throughout the life of the project, including previous job history, all proofs, revisions/information and final deliverables.
  • Monitors Department/Brand Feedback - Reviews feedback and communicate it to creative team ensuring all feedback is clear.
  • Department/Brand Communication - Acts as liaison between creative services and department/brand. This includes communicating art director, designer, and/or QA’s to the department/brand. Maintains communication with department/brand throughout project.
  • Internal Review - Reviews creative from creative team before sending to department/brand to assure materials represent their needs.
  • Proof Review - Works with department/brand and creative team in the proofing process. This includes facilitating review of proofs and coordinating with department/brand to ensure needed revisions are implemented.
  • Supports Project/Art Director - Works with other team members to create a cooperative working environment. Backs up Art Director in their absence to assure department/brand is receiving the best customer service possible and production deadlines are being met. Includes supporting Art Director and creative team by taking telephone messages, answering email, reviewing proofs, addressing department/brand questions/concerns, data entry, and other tasks as required.
  • Traffic Meetings - Meets regularly with creative team to keep up-to-date on existing projects and resources.
