JOB SUMMARY:
Under general supervision of the Director Athlete & Horse Services, this position is responsible for assisting within the department in various areas. An ongoing responsibility is the processing and management of FEI Horse and Rider Registrations. This position would also assist with passports processing including issuance and revalidation, as well as name, ownership, and nationality changes; reviewing letters of permission from foreign NGB’s; performing basic clerical duties associated with the position; and assisting with other duties in the department on an as-needed basis.
Duties and Responsibilities:
- Developing and distributing FEI Registration forms, maintaining files, processing and verifying horse and rider information in AHSD and the FEI website, communicating effectively with riders and the FEI regarding registration, and working productively with Discipline Directors and Passport Representatives to verify riders and horses are registered for events.
- Reviewing, evaluating and processing passports for validation, revalidation, change of ownership, change of nationality, and/or duplicate issue, and processing and approving national passport applications.
- Reviewing letters of permission from foreign NGB’s. Processing those requests once permission is granted.
- Performing filing and other clerical duties associated with the position.
- Assisting on an as-needed basis with processing of other department processes.

- FEI Registrations should be processed correctly and in a timely manner.
- Passports are processed correctly and within the expected timeframe.
- An exceptional level of customer service is provided to both internal and external customers.
- Appropriate and complete files are maintained and other clerical and accounting related duties are performed effectively.
- The Supervisor remains informed regarding the status of projects and relevant issues impacting the department.
- All communication is expected to be processional, friendly, and accurate.

Required, Knowledge, Skills & Abilities:
- Detail-oriented and able to prioritize tasks.
- Excellent customer service skills.
- Effective oral and written communication skills.
- Competency in the use of Microsoft Word and Excel.
- Knowledge of equine anatomy and a general equine background.
Education and Experience:
- High School diploma or equivalent preferred.
- Some college preferred.
- Minimum one year of experience in a customer service or office environment required.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 10 pounds and occasional lifting and/or moving up to 25 pounds. (Anything over 25 pounds requires a two person lift)
