POSITION TITLE: Program Coordinator

CHARGE (the “Agency”) is an independent sponsorship consultancy offering strategic advice to brands and rights holders, including for-profit and non-profit organizations. Since 2006, our agency has served organizations in business, sports and entertainment including Honda, Acura, Ascension - St. Vincent Health, the Los Angeles Dodgers, NBA Players Association, NASCAR and over fifty athletes in the NFL, NASCAR and INDYCAR.

The Program Coordinator is responsible for assisting in client event services and Agency marketing. This includes the planning, coordinating and execution of events as well as promotion of the Agency. The ideal candidate for this position should have familiarity with event management and social media administration.

Sponsorship Event Services: 
  • Assist with preparing budgets and provide detailed progress reports for each event project
  • Assist in managing space and hospitality agreements with properties and vendors
  • Propose new ideas to improve the planning, implementation and execution of the event process
  • Assist in development of pre-event documents for client review and participate in status meeting
  • Gather information on each project to achieve client goals resulting in quality events
  • Serve as liaison with vendors on event-related matters
  • Provide assistance with onsite event services
  • Manage travel arrangements for clients and staff
  • Close out events as required and prepare post-event reports
  • Event travel as required by client
  • Miscellaneous duties as assigned

Agency Marketing (Social Media Administration):
Social media content creation and support
  • Post scheduling through a social media management platform (i.e., Hootsuite)
  • Responsible for engagement on Agency social platforms (i.e., liking, commenting, retweeting and replying)
  • Provide engagement reports as requested

To perform this job successfully, an individual must have previous and successful experience in the above-mentioned duties. 

  • The requirements listed below are representative of the knowledge, skill and/or ability required:
  • Bachelor’s degree or equivalent from four-year college
  • At least 2 years of experience in coordinating events
  • Excellent communication skills, including written, proofreading skills, and speaking • Ability to manage multiple projects and work assignments
  • Self-motivated and enjoys working in a fast paced and results driven environment
  • Ability to work flexible hours, including nights, weekends and holidays as required
  • Excellent people skills with an ability to interact effectively and in a professional, diplomatic and mature manner with all internal and external clients
  • Ability to meet tight deadlines and work effectively in a high-pressure environment
  • Ability to remain calm during crisis and the high pressure of an event in progress 
  • Ability to negotiate with properties and vendors
  • Must be a detailed, organized, self-motivated and able to work independently
  • Proven ability to quickly resolve problems
  • Proficient with Microsoft Office suite with high-level PowerPoint and Excel skills
  • Experience in Adobe Photoshop and Canva preferred
  • Thorough understanding of Twitter, Facebook, Instagram and YouTube
