JOB TITLE: Coordinator, Business Operations
REPORTS TO: Executive Director 
POSITIONLOCATION: Remote
 
USA Water Ski & Wake Sports is affiliated with the International Waterski & Wakeboard Federation (world governing body) and is recognized by the United States Olympic & Paralympic Committee and Pan-American Sports Organization as the national governing body of organized water skiing and wakeboarding in the United States. The mission of USA Water Ski & Wake Sports is to advance, support and service all towed water sports through widespread recreational participation, education, promotion and sustained worldwide competitive excellence.
 
JOB SUMMARY:
Under the direction of the Executive Director, the Coordinator, Business Operations provides office support in the areas of governance, finance, membership services and general business activities. Additionally, this position is responsible for coordinating the organization’s merchandise program with 3rd party merchandise vendor. The manager also supports compliance efforts related to key stakeholders, including the U.S. Olympic & Paralympic Committee and the U.S Center for SafeSport. 
 
PRIMARY DUTIES AND RESPONSIBILITIES
Governance
  • Works closely with Chair of Bylaws Committee to coordinate and manage governance policies, including bylaws, financial policy, travel policy, records and retention policy
  • Work with USOPC compliance team and internal staff/volunteers to update and maintain bylaws, policy and procedures manual and SafeSport Handbook 
  • USA-WSWS lead during annual USOPC compliance audit 
  • Assists Executive Director with Board of Director and committee meeting logistics and planning and supports onboarding and training for board and committee members
  • Ensures annual background screen, Safe Sport training, code of conduct and conflict of interest forms are completed by the USA-WSWS Board, Sport Discipline boards, committees and staff members.
 
SafeSport
  • Act as the organization’s main point of contact for SafeSport program activation and compliance 
  • Create a plan to identify SafeSport coordinators from each Sports Discipline and clubs to assist with Safe Sport compliance among members
  • Develop a Safe Sport educational communications, and marketing plan to distribute to members via emails, e-newsletters, social media posts, magazine Ads, etc.
  • USA-WSWS lead during annual SafeSport compliance audit 
 
Human Resources 
  • Manage employee vacation/PTO/sick day tracking 
  • Act as organization’s benefits manager and serve as main point of contact for USA-WSWS group health insurance broker and other benefit carriers
 
Anti-Doping/USADA
  • Oversee and ensure compliance with USADA’s Clean Athlete Pool (CAP) requirements and coordination of education and training opportunities for athletes
  • Oversee and ensure compliance with USOPC Athlete Safety Policy
 
Finance/Reporting
  • Serve as point of contact with outsourced accounting firm
  • Act as point person for USA-WSWS annual financial audit, assisting auditors with collecting necessary documents, reports, etc. 
  • Serve as main point of contact for Sport Discipline treasurers to obtain and submit quarterly and annual P&L documents 
  • Provide coding for invoices and transactions to third party accounting firm following the organization’s chart of accounts and class list
  • Complete all USOPC reporting requirements (e.g. performance agreements, grant tracking and management, diversity reports and compliance documents)
  • Supports Executive Director in preparation of annual budget and accounting operations
 
Merchandise Program
  • Serve as primary point of contact with outsourced merchandise vendor
  • Responsible for online merchandise store (new product, flash store promotions, etc.)
  • Work with vendor to maximize event e-commerce and corporate merchandise revenue by creating a marketing plan to promote the online store 
  • Prepare monthly settlement reports for merchandise vendor based on online, join/renew and event related merchandise sales
 
Membership Services and Support
  • Assists with support for USA-WSWS members by answering phone calls (via remote capability thru Nextiva) and emails when necessaryAssists with sanctioning club events by reviewing and approving sanctioning applications
  • Assists with online certificate of insurance requests and insurance related member inquiries
 
Special Projects
  • Seek out and apply for various grants on behalf of the organization (e.g. U.S. Coast Guard Grant, Dicks Sporting Goods Community Grant, etc.)
  • Manage grant fulfillment on any awarded grants
  • Point of contact for organization’s new online Learning Management System (LMS)
  • Manage internal committee to create new and/or updated educational content to the LMS
  • Assists with USA-WSWS annual awards banquet planning

QUALIFICATIONS:
  • Bachelor’s degree in business administration, marketing/communications, sports management or a related field 
  • Minimum of two years of administrative and/or operations or account management experience (internships or full-time positions)
  • Ability to work under pressure and meet deadlines
  • Proficient computer skills, including Office 365 suite (Word, Excel, Outlook, etc.) and QuickBooks Online
  • Excellent oral and written communication skills
  • Well organized and able to work independently and to manage multiple projects
  • Ability to take initiative and work remotely
