Administration/General Management: Administrative/Executive Assistant

Summary
Under the supervision and direction of the manager of the National Medical Network (NMN), the National Medical Network Coordinator shall provide comprehensive support in facilitating athlete medical services to National Medical Network partners. This may include, but is not limited to, coordinating appointments between NMN Partners, USOPC Clinics, and Olympic & Paralympic athletes. Work with sponsors to secure air travel, ground transportation and lodging for athletes. Provide administrative support on data entry, digital filing, calendar management, record keeping, sending and tracking surveys, and other tasks as assigned. Candidates must have ability to multi-task various projects and deadlines, as well as possess excellent customer service skills and professional acumen.


Duties & Responsibilities
  1. Identify athletes’ eligibility for services on a case-by-case basis. Schedule treatments, diagnostic studies, specialist referrals, and other appointments with USOPC clinics and NMN partners as directed.
  2. Provide exceptional customer service and timely correspondence to internal and external stakeholders, including Olympic and Paralympic athletes, NGBs, NMN partner liaisons, and USOPC staff.
  3. Maintain a positive and professional attitude at all times, reflective of the USOPC values and mission.
  4. Respond promptly to NMN-related inquiries and requests, responding actively and with sensitivity to the needs of the customer.
  5. Schedule medical appointments with USOPC clinics and NMN partners, as directed. Coordinate services for continuation of care as needed. Schedule air travel, ground transportation and lodging accommodations for athletes utilizing NMN services.
  6. Coordinate with volunteer dental providers to establish care for eligible athletes.
  7. Maintain on-going knowledge of the NMN program and general medical terminology.
  8. Obtain medical records and diagnostics studies and provide to partner physicians, as requested. Scan and upload appropriate documentation into electronic medical records (EMR) system.
  9. Carry out administrative duties related to the athlete referral process, including, but not limited to, submitting costs requests, processing athlete travel expenses, correcting billing errors, ensuring accuracy of NMN database, maintaining digital files and providing formal written communication to athletes.
  10. Contribute to the team effort by effectively achieving results in coordination with the Sports Medicine division. Provide administrative support on various processes and programs as necessary within Sports Medicine.
  11. Provide feedback on the efficiency and quality of the customer service process.
  12. Handle confidential information and communicate only to its intended audience. Maintain complete security in regards to patient health information encountered through USOPC employment.
  13. Other projects as assigned.

Minimum Qualifications Required
Education:
Bachelor’s degree or equivalent work experience
Experience: 
  • At least 2 years of administrative experience, including administering logistical support
  • At least 2 years customer service experience
  • Sport experience or experience working in a healthcare environment preferred

Skills
  • Microsoft Applications: Word, Excel, PowerPoint, Outlook, Office 365, Electronic Health Records System
  • Ability to perform all duties within HIPAA regulations.
  • Passion for sport and the ideals of the Olympic and Paralympic Movement
  • Excellent written and oral communication
  • Excellent human relations skills, with a customer-centric focus
  • Ability to work in fast paced multidisciplinary team environment
  • Ability to demonstrate accuracy and thoroughness
  • Proficiency with internet search capabilities and usage of telecommunications equipment, fax machine, copier
  • Proficiency with SharePoint

Hourly Pay Range
$19.90 - $25.26 per hour
