Special Projects Coordinator with the National Basketball Retired Players Association in Chicago, IL
The National Basketball Retired Players Association (NBRPA) is seeking a Special Projects Coordinator. The Coordinator will provide complex administrative, event, membership and partnership support. Reporting directly to the Director of Special Events, the Coordinator will also support the President & CEO and the SVP of Operations & Events.
This is an at-will position and this document does not constitute an employment contract. 
Essential Duties and Responsibilities: 
  • Assist with event planning/logistics, event promotion, guest registration and/or RSVP tracking, partnership activation, provide onsite event support, and more for the various NBRPA events including, but not limited to, NBA All-Star Weekend, Legends Conference, Players Parties, Full Court Press: Prep for Success clinics, Alumni Nights, Legends’ appearances, etc.
  • Assist the SVP of Operations & Events with the distribution of accounts payables, membership dues, employee and Board of Directors reimbursements, and royalty payments.
  • Assist, as needed, with meeting/event scheduling, agenda and collateral material preparation, and travel and accommodation arrangements.
  • Oversee inventory of office supplies and order additional supplies as needed.
  • Ensure the efficient operation of all office equipment, such as copier/scanner machine, mail machine, phone/voicemail system, and computers, and arrange for maintenance as needed.
  • Organize and manage all office and storage unit inventories of promotional items, apparel, equipment, memorabilia, and artifacts. 
  • Using Raiser’s Edge, manage and track all member, partner, and donor profiles on a consistent basis for accuracy. 
  • Coordinate and complete special projects for the President & CEO, SVP of Operations & Events, and Director of Special Events.
  • Other duties as assigned.
Minimum Education and Experience Requirements
  • Bachelor’s degree required.
  • Minimum of two (2) years of full-time work experience in a professional office setting.
Knowledge, Skills, and Abilities necessary to perform essential functions
  • Excellent verbal and written communication skills.
  • Excellent customer service, problem solving, organization and time management skills.
  • Must be detail oriented and a skilled multitasker.
  • Strong ability to work effectively both as part of a team and independently as a self-starter. 
  • Strong ability to maintain confidentiality.
  • Ability to learn and master new software programs including, but not limited to, Raiser’s Edge.
  • Proficient with all Microsoft Office programs.
  • Must be able to work flexible hours, as needed, including evenings, weekends and holidays.
Physical/Environmental Requirements
  • Position is based in Chicago, IL. 
  • Office: Working conditions are normal for an office environment. Work may require occasional weekend and/or evening work.
  • Events: During events, the employee is required to stand for long periods of time, walk long distances, and climb up/down stairs. The employee is required to stoop, kneel, crouch, or sit and must lift and/or move up to 45 pounds.
  • Travel: The employee may be asked to periodically travel and, if so, will be reimbursed for reasonable business-related travel expenses if pre-approved by the Director of Special Events.
