Trail Drive Management Corp. – Dickies Arena of Fort Worth, TX

Dickies Arena will be a 14,000 seat, spectacular multipurpose venue located adjacent to the Will Rogers Memorial Center campus in Fort Worth, Texas. The arena will be owned by the City of Fort Worth and managed by the not-for-profit operating entity, Trail Drive Management Corp (TDMC). The state-of-the-art arena, scheduled to open in November 2019, will host concerts, sporting events and family entertainment, and will be the new home to Fort Worth Stock Show rodeo performances.

Job Description The Dickies Arena Operations Administrative Assistant is responsible for facilitating all administrative duties of the Operations department and assisting the Director of Operations with the day to day functions of the operations department.  The Operations Department includes, Housekeeping, Changeover, Engineering, IT, AV, Parking, Safety & Security, Event Management and Capital Improvements.

  • Proficiency in Microsoft Office.
  • Ability to type at least 55 wpm.
  • Ability to use all office equipment, computer, calculator, copy machines.
  • Ability to prioritize tasks and to handle multiple tasks at a time.
  • Good communication, problem solving and organizational skills.
  • Excellent customer service skills.
  • Valid form of identification required.
  • All applicants must successfully pass a criminal background screening.
  • Must be at least 18 years of age.
  • At least 1-2 years of related office administrative experience.
  • Must have at least a high school diploma or GED equivalent. 
  • In accordance with federal law, applicant must present appropriate documentation establishing his/her identity and authorization to work in the US during the hiring process. 

All other duties will be assigned according to their urgency, including but not limited to the following:
Essential Functions

  • Assists in daily reports.
  • Schedules and coordinates meetings, appointments, and travel arrangements for supervisors/managers within the entire Operations Department. 
  • Prepares agendas for meetings and prepare schedules as well as taking meeting minutes and distributing to the necessary attendees.
  • Handles requests for information and data.
  • Answers all phone calls. 
  • Reads and routes incoming mail. 
  • Composes and types routine correspondence. 
  • Organizes and maintains file system and files correspondence and other records for digital and hardcopies. 
  • Greets scheduled visitors and directs to appropriate area or person.
  • Records all financial transactions, reports any budget overruns or shortfalls for various Budgets within the Operations Department and reconciles with the Finance Department on a regular basis.
  • Assists with submitting and tracking Work Orders through the selected CMMS (Computerized Maintenance Monitoring Software) System.
  • From time-to-time assists in the Event Command Center to receive in-coming requests for Operations, disburse those requests to the various employees and track those requests on Event Days utilizing the selected Event Management Software.
  • From time-to-time assists with Event Set-ups and clean-ups as required.
  • Assists with employee recognition programs as well as plan employee outings and parties.
  • Orders and maintains office supplies and arranges for equipment maintenance. Handles sensitive, proprietary and confidential information.

 Physical demands
While performing the duties of this job, the employee is regularly required to sit for long hours; use hands to handle files, type and operate office machines; to talk and hear on the telephone. Specific vision abilities required by this job include close vision to handle office correspondence.
