Event Management: Competition Management
The Department of Intercollegiate Athletics consists of more than 275 staff members and coaches and sponsors 30 varsity sports programs.  These 30 programs include more than 850 student-athletes who participate in the various sports programs annually within the National Collegiate Athletics Association (NCAA).  We are currently seeking a Facilities Operations Coordinator who will work within the department’s Facilities unit.

Description of Position:  This position supports the operational needs for the Athletics Facilities unit by managing the schedules for department facilities, including all field space, pools, gyms, and meeting rooms for all competition, practices, events, facility rentals, and meetings. This position involves the management, long-range planning, organization, coordination, oversight and/or performance of multiple operational activities and services for one or more buildings, including space planning, general maintenance, call center triage and tracking of repair services, move planning and coordination, development of procedures, policies and communications related to infrastructure and safety. Position works in conjunction with Recreational Sports to manage the scheduling of shared facilities as it relates to sport clubs, intramurals, meetings and other special events. Serves as main point of contact with the Pac-12 conference on the scheduling of televised events on Berkeley’s campus.
  • Collect and coordinate schedules for all IA department facilities for IA events including games, competitions, practices, special events, and related programs.
  • Communicates and manages requests from IA programs and staff members for non-IA facilities (i.e. Hearst Gymnasium, RSF).  Works collaboratively with the scheduling staff in RSF to schedule shared facilities including Spieker Aquatics Complex, Channing Tennis Courts, and Golden Bear Gymnastics facility.
  • Maintains and updates EMS Professional (the scheduling database), as well as on-line calendars and schedules for public viewing.  Maintains long term records of facility usage in order to better facilitate future decision making around facility usage.
  • Serves as the department contact/liaison for all Facility Rental requests (excluding Memorial Stadium), checks availability of facilities, preparing rental estimations, executing agreements and contract, coordinating with other units for proper staffing, and processing billing, invoice, and collections. Facility rentals will also include coordinating facility rentals for athletic camps run by 3rd party providers.
  • Oversees the process of estimating rental prices, preparing agreements/contracts, collecting waivers, securing approved facility use permit, and communicating fee structures.
  • Provides assistance to Facility and Event Operations crew in the research, planning, organizing and conducting of home sporting events. 
Required Qualifications:
  • Bachelors degree in related area and/or equivalent experience/training
  • Working knowledge of practices and procedures relating to facility maintenance.
  • Working knowledge of practices and procedures of safety and emergency preparedness.
  • Skills to work under pressure of deadlines in a stressful environment.
  • Working organizational skills to work on multiple projects with competing deadlines, to establish goals and work load priorities, and to meet project deadlines within budget and time constraints.
  • Written communication skills to prepare a variety of correspondence, reports, policies and procedures, and training documents.
  • Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships. 
  • Skills to work independently and as part of a team.

Preferred Qualifications:
  • Maintain current knowledge of applicable rules and standards of the Pacific-12 Conference, the National Collegiate Athletic Association (NCAA), as well as other associations and agencies to which the Berkeley campus of the University of California adheres, and, at all times avoid any and all violations of these rules and standards.
  • Experience working at a large university (particularly in Division 1) with a large quantity of sports and highly-rated, world-class facilities.
