Position Summary:
The Operations Assistant provides administrative and organizational support to the Arena Operations staff and Arena Operations managers as needed.
Responsibilities:
- Input payroll scheduling and check timesheets in UltiPro for accuracy before approval by department manager.
- Call employees to provide schedules and make any schedule adjustments.
- Log and track time off requests and call offs for building services staff.
- Complete, track, and close department work orders using eMaintenance.
- Maintain files in an organized and accessible manner to include updating information, purging files on a regular basis and creating new filing systems as needed.
- Notifies Human Resources of LOA and verification of employment requests.
- Coordinate with HR to schedule interviews.
- Meets with new hires to enroll them in the timeclock and provide a facility tour.
- Complete and track department purchase orders and invoicing.
- Compile checklists and distribute to staff for completion.
- Provide administrative support for budgeting and Cap/Ex to include research, compiling data, and preparation of summary reports.
- Perform other related duties as necessary.
Requirements:
- 2+ years of administrative experience
- Associates Degree preferred
- Bi-Lingual (Spanish/English) ability preferred
- Overall good computer skills including proficiency with MS Office applications
- Must be able to occasionally lift up to 25 lbs.
