POSITION TITLE:  Credentials Representative

POSITION LOCATION:  Indianapolis
FLSA STATUS:  Non-Exempt
OTHER STATUS:  Permanent Part-Time


POSITION SUMMARY:
The role of the part-time credentials representative is to serve as a liaison between the company and both internal and external customers as well as to support the responsibilities of the credentials manager. The credential representative assists with access to the event and delivers on customer needs. In addition, the representative coordinates and distributes arrangements for credentials and parking.  The credentials team works with many departments in INDYCAR and the Indianapolis Motor Speedway and must have a working knowledge of multiple, detailed processes.


SPECIFIC DUTIES:             
  • Work with Credentials Manager to facilitate planning and execution of credentials, special access parking, and golf cart permits. Primary events include: 
    • Month of May – More than 117,000 products distributed to an estimated 40,000 customers
    • Brickyard 400 – More than 24,000 products distributed to an estimated 8,300 customers
    • Golf carts – Approximately 1,000 permits supplied to stakeholders, vendors, and teams
  • Assist with managing day to day interactions and relationships with internal and external customers from the time of the request to distribution to ensure exceptional customer service.
  • Adhere to annual timeline and deadlines to ensure processes are executed as effectively as possible.
  • Along with other team members, prepare, package, and supply deliverables for the following groups: 
    • Internal Hulman & Company departments
    • Sanctioning bodies
    • Third-party vendors
    • Suite holders, partners, and other stakeholders
  • Participate in the creative process to ensure collateral materials are produced accurately and on time. Examples include badges, passes, stickers, badges, brochures, manuals, etc.
  • Approach situations, especially conflict, with Hulman Way values and premium services team culture map principles of excellence, family, service, growth, and family.
  • Problem solves and manage customer expectations. Use existing policies to resolve customer requests and challenges.
  • Provide administrative support to peers and teammates, answer customer emails and calls, etc.
  • Ensure that liability releases are prepared, distributed, fully executed, and returned back to the credentials area for all events.
  • Prepare and coordinate customer mailings and mass communications through email.
  • Assist with special projects as needed.
  • Learn and utilize software programs necessary to perform job requirements including, but not limited to, Microsoft Office products, and SCORE.

Education & Experience  
  • Bachelor’s degree from an accredited university/college preferred.

Travel/Work Hours 
  • No travel; however, while this is a permanent part-time position which typically averages 30 hours and under per week, this position does require working some weekends and evening hours based upon our business needs. Flexibility and adaptability are key skills needed for this role.

  • Must be able to lift up to 25 lbs.
  • Must be able to see and hear in the normal range with or without correction and communicate verbally and in written form with great facility and must be able to be understood.
  • Must have the stamina to work long hours and must be willing to work an irregular schedule, which may include weekends or evenings.
