The Accounting Associate is a part-time position that will provide support to the Controller of the IMS Museum.

Essential Functions:
Part-time (20 to 25 hours per week) position performing a variety of accounting functions, including:
  • Handle accounts payable and accounts receivable 
    • Maintain vendor system and set up new vendors as necessary obtaining all necessary paperwork to follow compliance requirements.
    • Obtain proper approval with expense coding and input vendor invoices into the accounting system
    • Create all billing invoices for facility rental, bulk tickets, loan agreements, special events and other uses of Foundation assets or Museum space
    • Process credit card payments in compliance with Foundation policies on credit card payment documentation
  • Count, reconcile and post the daily cash activity received from Museum operations and prepare the deposit for third-party delivery service.
  • Maintain and monitor petty cash reserves in compliance with Foundation policies.
  • Track and record PayPal account activity for merchandise purchased through eBay or other events.
  • Reconcile and post the monthly credit card statement for staff purchases.
  • Act as a backup to the Payroll Coordinator when necessary.
  • Assure compliance with Foundation document retention policies by participating in periodic review and timely purging of records.
  • Track restricted gift revenue and expense and maintain various other records in EXCEL to supplement accounting system and assist staff with monitoring restricted fund usage.

Knowledge/Skills:
  • High School degree or GED.
  • Minimum of 3 to 5 years entry-level accounting skills.
  • Knowledge of accounting systems with knowledge of Great Plains a plus.
  • Excellent attention to detail and high accuracy rate required.
  • Good written and oral communication skills with an emphasis on inter-personal relations.
  • Ability to work collaboratively with a variety of people with different skills and abilities.
  • Ability to use technology to achieve desired results.
  • Ability to use MICROSOFT Office products (Word and Excel).

  • Ability to prioritize projects and adjust priorities in light of changing needs and circumstances, recognizes when to involve supervisors in decision-making about priorities.
  • Follows through promptly and delivers work product on-time and in acceptable condition/quality.

Communications/Interpersonal Contacts:
  • Ability to communicate own plans and ideas to colleagues and individuals or organizations with which s/he interacts.
  • Keeps colleagues and supervisors informed of progress of tasks, as well as issues that require supervisor’s resolution. 

Work Hours/Travel: 
This is a part-time position, so generally hours will be between 20-25 per week. May occasionally be required to work all or a part of a day on weekends. No travel.
