Administration/General Management: Administrative/Executive Assistant
Job Purpose: The candidate will provide full time, executive level, administrative support (both business and personal matters) to Executive.  Includes operational and clerical support, arranging travel and correspondence, scheduling meetings and coordinating personal/family affairs.   Successful candidate will have had prior experience supporting high level executives with both business and personal matters. The highest level of communications, confidentiality and integrity are required for this position.

Note: Initially this will be a work from home position, but to be considered for role, individual must reside in the Delray/West Palm Beach/Palm Beach County area.  Only local applicants will be considered.

Roles and Responsibilities
  • Manage and maintain executive schedules, including scheduling travel, meetings and conferences, making appointments and making changes to appointments (must be comfortable and efficient dealing with frequent/daily changes to travel and meeting plans).
  • Assist executive's family members with a variety of tasks, including managing family schedule, booking travel and general day to day needs.
  • Assist in managing personal and commercial real estate properties.
  • Maintain a "to do" list for Executive, including using professional judgment to identify "hot" or urgent items that need to be addressed immediately.
  • Check in multiple times daily while executive is traveling and ensure all needs are being met.
  • Answering and directing calls and general email messages to appropriate executives and parties, taking messages.
  • Opening, sorting, and distributing correspondence, including email and faxes.
  • Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
  • Prepare reports, collect and analyze information; prepare presentations.
  • Maintain knowledge by attending professional and technical educational seminars and workshops; review publications; establish professional and personal networks within the industry. Participate in societies relative to the business.
  • Data analysis; Proficient in Word, Excel and PowerPoint. 
  • Coordinate finances, assist with budget preparation and management of expenses.
  • Meet with special interest groups or individuals on behalf of executives.
  • Prepare executive responses to routine memos, letters, or correspondence.

Qualifications
  • College degree is required
  • Prior experience supporting C-Level executives
  • Proactive communication skills
  • Operates with a sense of urgency
  • Operate effectively in an ever changing environment
  • Problem solving ability
  • Intermediate MS Office experience
