The Office Manager is a non-exempt, salaried position reporting to the Sr. Vice President – Finance & Administration. In addition to being available to work all company events, job responsibilities include:

Office Administration
  • Receive visitors at front desk; answer main phone line and monitor main line voicemail.
  • Manage express shipping for office.
  • Maintain internal office calendar, including all upcoming events, meetings, etc.
  • Maintain and order office and kitchen supply inventory, including printing, postage and stationary supplies.
  • Maintain common area and kitchen tidiness, including monthly cleanout of refrigerator.
  • Proactively manage all company contact information, including office roster, board contacts and conference/university contacts.
  • Coordinate all board and executive committee meetings (location, timing, catering, and handouts.)
  • Coordinate Music City Bowl Board ticket and apparel orders, including fulfillment.
  • Coordinate other board communications as needed.
  • Manage student intern program, including recruiting and onboarding of student interns, and being the primary point of contact for interns.
  • Manage contract with apparel vendor and handle apparel orders.
  • Act as tenant contact to building management.

Finance & Accounting
  • Manage accounts payable entry and weekly check runs.
  • On a weekly basis (minimum), create bank deposit packages and deliver to banks.
  • Reconcile all bank statements in accounting system.
  • Manage A/R and A/P files, including supervision of intern filing. Manage other administrative files as needed.
  • Weekly timesheet reporting to payroll company; tracking of employee time off.
  • Other duties as assigned.

Required Qualifications:
  • Mature “can-do” attitude – no job is too small.
  • Ability to prioritize and multi-task is critical.
  • Strong organizational skills.
  • Proven ability to get things done independently.
  • Affable personality – this position must be able to get along with everyone.
  • 1-3 years of experience in office administration.
  • Proficiency with Microsoft Office.
  • Mandatory availability to work the week between Christmas and New Year’s Day.

Desirable Qualifications:
  • Previous experience with accounting systems.
  • Experience working in sports, entertainment or similar industry requiring ability to be discreet and/or maintain confidentiality.
