The Organization: The 500 Festival is a nonprofit organization dedicated to celebrating the spirit and legacy of the Indianapolis 500. To achieve our mission, we create fun and life-changing community events that create hype around the city of Indianapolis and state of Indiana in preparation for race weekend. After all, it’s the largest single-day sporting event in the world! Over half a million people are impacted by our events each year, and we love what we do. 


The People: The 500 Festival staff is 16 deep and packed with talented, hard-working professionals who care about our city, our state, and what the Indy 500 means to its history and culture. An additional 11 interns join us for the spring semester, and another 3,500+ volunteers help us make May a month-long celebration covered in Hoosier hospitality. 


The Atmosphere: The office culture is a blend of professionalism and fun with varying personalities and skillsets. We take our jobs seriously, but at the end of the day, we’re the Festival! Whether you’re planning the nation’s best half marathon, executing a flawless red carpet event, or producing one of the world’s largest parades, it’s hard work, but always fun and rewarding! 


The Candidates: We want the hardest working and most passionate students. If you’re looking for a career in events, have a willingness to learn, flexibility to put in some long hours in May, and you’d like to have a blast with a class of 10 other interns, then, join us this spring and help us produce the greatest month-long series of events on Earth.

Qualifications:
  • The ideal candidate for this internship must be interested in the event industry and be proactive and self-starter in execution of assigned responsibilities. 
  • This candidate should be organizationally sound with a desire to be a team player. 
  • Candidates are expected to possess the understanding of Microsoft office products and have strong written and verbal communication skills. 
  • Candidates will ultimately gain hands on experience prior to and at all of the 500 Festival events with planning, set up, tear down and production responsibilities.

500 Festival Miler Series, presented by OrthoIndy: The 500 Festival Miler Series, presented by OrthoIndy, consists of three running and walking races offered at three unique distances, a 3-Miler, 6-Miler, and 10-Miler in February, March and April. The 500 Festival Miler Series, presented by OrthoIndy is the perfect, low-pressure opportunity for participants to gauge their progression in preparation for the Mini-Marathon. 


OneAmerica 500 Festival Mini-Marathon and Delta Dental 500 Festival 5K: On Saturday, May 7, 2022, 30,000 runners, joggers, walkers, elites, and wheelchair racers will take over the streets of downtown Indianapolis for The Greatest Spectacle in Running - the Indy Mini. The OneAmerica 500 Festival Mini-Marathon is one of the largest half-marathons in the country and has been named the nation’s best half marathon. Within it’s over 40-year history, many stories have emerged around the excitement. From United States Olympian marathon runners, the arrival of international runners, to the family traditions, the OneAmerica 500 Festival Mini-Marathon provides competition and camaraderie.


The American Legion 500 Festival Memorial Service: The 500 Festival embraces a very important holiday in the midst of its May festivities – Memorial Day and a weekend to remember the sacrifices made by Indiana men and women who perished while serving in the armed forces. The 500 Festival Memorial Service, held at the Indiana War Memorial in front of 2000 attendees, hosts a four-star General from the United States Military, The Adjutant General of Indiana, representatives from all military branches, along with presenting full military funeral honors, and a flyover. Prior to the Memorial Service, the 500 Festival also hosts a private ceremony for Indiana Gold Star families to honor the ultimate sacrifice of their loved ones.


Learning Objectives: 
  • Assist with coordination of the Mini-Marathon, 5K, Miler Series and Memorial Service 
    • Objective: Event support, permitting, elite athlete recruitment, product fulfillment, overall event planning, work in a team environment, problem-solving with quick solutions, event logistics, and communication with vendors, participants, and attendees
  • Assist with coordination of parking and credentials for the Mini-Marathon
    • Objective: Communication with the parking vendors and internal team members, organization and distribution of all parking passes and credentials 
  • Assist in communication with families of fallen soldiers on behalf of the Memorial Service
    • Objective: Gold Star Service planning, continual written and verbal communication with families and committee members
  • Assist with committee meetings and meeting minutes for the Mini-Marathon and Memorial Service.
    • Objective:  Sit in on all committee meetings. Relay updates and changes to necessary personnel. Additional conversation or correspondence may be needed afterward with committee members or community leaders for clarification or to complete necessary tasks.
  • Assist in creating and maintaining accurate event records
    • Objective: Participant and attendee database management, keeping track of daily tasks and responsibilities, overall attention to detail and organization of event documents
  • Collaborate with event professionals and volunteers to develop and manage event timelines
    • Objective: Assisting in the leadership of two large committees, board members, volunteers, vendors, and team members. The candidate will be looked to for problem-solving, organization of plans put into place, prompt and accurate communication, and the overall planning and execution of the events 
  • Assist with event and program research projects
    • Objective: researching new and creative ways to grow our events by gaining industry knowledge through studying other events, vendors, and technology that is available.
  • Oversee front desk approximately 2-3 times monthly.
    • Objective: General organizational knowledge, teamwork, phone / in person communication skills 

Compensation & Educational Requirements:  
  • The intern must obtain educational credit from an accredited college or university
  • The intern will earn a weekly stipend of $200 that will be paid at the end of each month
  • No relocation or housing assistance is provided 
  • Training and/or experience in meeting/event planning, recreation, tourism, marketing, special events or a related field is recommended
 
Application Process:
  • Interviews will be conducted on a rolling basis as applications are received
  • The internship duration is expected to occur between January and June 2022, however specific start and end dates will be mutually agreed upon by and with consideration of the selected candidate’s degree requirements and the 500 Festival’s Spring 2022 event schedule.
  • Due to the ongoing pandemic, all interviews with potential candidates will take place via Microsoft Teams
