Barrett-Jackson is currently seeking a Travel and Guest Services Coordinator to support our company’s personnel by arranging the booking of our corporate travel needs.  The Travel and Guest Services Coordinator serves as the point of contact and administrator for all the company’s travel requests. Working in coordination with Barrett-Jackson’s Finance and HR Departments, this position supports Barrett-Jackson’s staff requirements for lodging and airfare by coordinating, sourcing and booking of their travel needs. In this capacity the Travel Coordinator supports the company by performing a variety of administrative and organizational tasks to maintain an efficient and effective process for the management of Barrett-Jackson’s business travel. 
 
The position requires excellent customer service skills; the ability to arrange, coordinate, and manage travel requests in a timely and efficient manner in order to meet deadlines; the ability to establish priorities, multi-task and problem-solve; and the ability to develop effective working procedures. The position requires substantial effort to establish a good working relationship with a diverse group of individuals within and outside the company. The Travel and Guest Services Coordinator will work within the mandates and guidelines of Barrett-Jackson’s internal travel policies.

She/He will have the proven ability to accomplish multiple tasks and keep multiple projects progressing. She/He will possess knowledge of the principles and practices of administration; be an effective communicator, with solid writing and verbal skills; be highly organized and detail-oriented; and demonstrate the ability to work independently and exercise appropriate judgment.
 
Key Responsibilities:
  • Facilitate travel arrangements for Barrett-Jackson team members, contractors and support staff
  • Serve as a general resource and point of contact for travel-related request matters
  • Assist and direct team members with travel-related questions, concerns or issues with support from the Barrett-Jackson Finance and HR Departments as needed
  • Receive and respond to all company’s travel requests 
  • Organize and manage travel requests from beginning to end
  • Research and secure hotel lodging and airfare within the applicable approved rates and guidelines.
  • Confer with travelers and/or Department heads to determine their travel preferences and provide them with viable feedback to meet their needs, while at the same time remaining compliant with the company’s policies and guidelines
  • Provide travelers with information on availability of dates and time for destinations, and airline timetables that fall within their travel needs as applicable
  • Furnish travelers with confirmation receipts for airline flights and/or hotel accommodations
  • Maintain the supporting travel request files
  • Reconcile monthly travel card statement to travel charges and receipts
  • Work with Guest Service team, answering incoming phone calls and routing to the appropriate team members. 
  • Be well-versed in Barrett-Jackson’s business practices and events in order to answer general information questions 
  • Fulfill information requests via mail, fax and e-mail
  • Maintain excellent customer service 
  • Maintain a professional attitude towards team members and guests
  • Assist other departments with special projects
  • Other duties as assigned
 
 
Qualifications and Experience:
  • Three years responsible administrative and travel booking experience; or bachelor's degree in a field appropriate to the assignment and two years responsible administrative and travel booking experience.
  • Self‐motivated and the ability to work with a minimum of supervision and as a team player.
  • Highly organized, detail‐oriented, and ability to handle multiple duties/projects under deadline.
  • Proactive in identifying and completing tasks applicable to the job.
  • Ability to problem-solve and exercise sound judgment.
  • Experience using database application software and/or online reservation systems preferred.
  • Knowledge of the principles and practices of administration, regulations and operating procedures, as well as accounting and budgeting procedures.
  • Excellent oral and written communication skills.
  • Firm understanding of providing excellence in internal customer service with the ability to establish and maintain effective working relationships both internal and external to the organization.
  • Strong computer skills in Microsoft Outlook, Word, Excel, PowerPoint and Publisher at a minimum. Microsoft 365 knowledge preferred.
  • Ability to operate general office equipment such as a printer/copier, etc.
