Facility Operations/Event Staff: Event/Venue Booking

POSITION SUMMARY
The Director of Booking is responsible for programming and scheduling the facility for all events.  The position will oversee all management of the venue’s calendar and coordination of date hold priorities. 

JOB RESPONSIBILITIES
  • The position will work closely with all tenant sport teams, external clients of the facility, City of Henderson, and league/conference personnel regarding date availability and scheduling.
  • Seek out opportunities with content producers on behalf of the venue.
  • The Booking Director will develop pro-forma estimates on all events to evaluate the financial outcome.
  •  This role will develop, negotiate, and implement contractual obligations regarding the venue’s events.
  • Provide professional and timely responses to external organizations, agencies, departments, and individuals.
  • Maintains the integrity of the department/company in all forms of communication and personal contacts.
  • Ensure effective and efficient use of the venue’s available dates, optimizing maximum use of the facility.
  • Continually advise and update the Vice President of Operations on all areas of facility bookings.
  • Ensure all aspects of an event are successfully executed from preliminary planning to final billing.
  • Assist in all event settlements.  Ensure post event billing is completed on all events.
  • Develop relationships with event organizers, agents, artist managers, promoters, and content producers.
  • Develop and analyze the annual budget responsible for this position.
  • Solicit business by traveling to conferences, tradeshows and client offices as needed to secure bookings.
KNOWLEDGE, SKILLS, ABILITIES
  • Working knowledge of all areas of venue management, including but not limited to Marketing, Ticketing, Event Operations, Food & Beverage and Sponsorship.
  • Expertise in calendar management for a similar type of venue with multiple tenant sport teams.
  • Ability to work with Excel, Word, and other Microsoft programs in accordance with the role.
  • Excellent negotiation skills.  Proven track record of producing deal structures across a variety of event types.
  • Ability to multi-task and coordinate large projects simultaneously.
  • Maintain awareness of new developments and trends in booking, sports, and entertainment.
  • Ability to analyze and extract data from reports related to booking and scheduling.
  •  Proficient in presenting proposals and/or concepts to senior management for potential bookings and events.
  • Must be extremely organized and detail oriented.
  • Work effectively under pressure and/or stringent conditions while still producing accurate results.
  • Ideal candidate will have a professional, personable, and outgoing personality.
EDUCATION AND EXPERIENCE
  • Bachelor’s degree in applicable field, but experience may substitute for education.
  • Minimum Five (5) years of experience in booking events at a similar size mid-sized venue
  • Experience in agreement drafting, negotiating and contract process management.

OTHER REQUIREMENTS AND/OR DUTIES
  • Ability to work in dark, bright, smoky, dusty, cold and/or confined spaces.
  • Able to walk/stand for prolonged periods of time on hard surfaces.
  •  Comfortable working around large crowds.
  • Willing to work nights, weekends and holidays as needed.
  • Execute other job duties as assigned.
