Job Summary:
The People Operations Coordinator is a liaison between People Operations and all VSG departments and employee services. The People Operations Coordinator will work with a team of HR professionals dedicated to elevating the employee experience and focusing on process improvement. This role includes a variety of daily tasks including recruiting and hiring, onboarding and off boarding, employee engagement, and personnel administration. The People Operations Coordinator is responsible for assisting the People Operations department in meeting VSG’s goals and objectives.

Game/Event Responsibilities:

  • Approximate number of events worked per year:   10-15

Essential Duties & Responsibilities:
Recruiting and Hiring:
  • Assist in preparing and maintaining job descriptions for exempt and non-exempt positions 
  • Screen resumes to identity minimum qualifications for position
  • Schedule and perform phone screens for a multitude of positions
  • Schedule interviews and coordinate with candidates and hiring managers
  • Participate in job fairs and other recruitment activities to increase pipeline of quality candidates
  • Assist in booking travel and accommodations for out-of-town candidates during the interview process 
  • Identifying opportunities for improving the candidate experience and streamlining processes 
  • Onboarding and Offboarding:
  • Assist in coordinating and facilitating New Hire Orientation
  • Perform audit to ensure required New Hire paperwork is complete
  • Supporting HR transactions such as hires, terms, leaves, employee data changes, and document management via Workday
Perform exit interviews for certain positions and assist in offboarding process

  • Oversee and maintain organization’s employee Instagram account
  • Create and disseminate VSG’s electronic newsletter
  • Assist in brainstorming and coordinating full-time and front-line engagement activities
  • Assist in coordinating VSG’s large-scale events including annual holiday party, service awards and end of season celebration

Personnel Administration:
  • Assist in the employee relations investigative process
  • Provide outstanding service to candidates and team members by answering emails, phone calls, and inquiries in a timely manner
  • Stay abreast of current trends and developments within the Human Resources industry
  • Ensure federal, state, local, and company regulations are followed when handling hard and digital associate files
  • Assist with department invoicing process 
  • Perform additional duties as assigned 

  • Minimum 2 years’ experience in a Human Resources administrative role
  • Bachelor’s degree in Human Resources or similar field or equivalent work experience
  • Knowledge of recruiting and hiring lifecycle 
  • Ability to independently manage multiple tasks and projects simultaneously in a fast-paced environment with tight deadlines
  • Ability to professionally handle confidential and sensitive information 
  • Must be a team player with the ability to build strong relationships within your team and across VSG departments
  • Experience with using applicant tracking systems and similar HRIS tools; Workday experience preferred but not required
  • Exceptional attention to detail with a sense of urgency and a can-do attitude
  • Exceptional organizational, written, and verbal communication skills
