Position Summary:

The Office and Culture Specialist facilitates the efficient operation of the Seattle Kraken corporate office by welcoming guests and working with various departments to perform a variety of clerical and administrative tasks. To excel in this role, you will enjoy working in a fast-paced team environment, have excellent people skills, and be comfortable working with teammates, executives, business associates and the public.

 

Essential Duties & Responsibilities:

  • Welcome, direct and provide hospitality to guests, visitors, investors, and business associates at the main reception desk of the Seattle Kraken corporate office
  • Answer phone calls to the Seattle Kraken corporate office main line, screening and transferring as necessary
  • Manage procurement of office supplies and other department needs
  • Select vendors and manage relationships
  • Oversee deliveries, including logistics
  • Work with departments and finance team to ensure budget compliance
  • Oversee logistics of office services
  • Oversee order and cleanliness of copy rooms, kitchens and conference rooms
  • Work with Kraken Community Iceplex {“KCI”) facilities team to support incoming and outgoing mail process
  • Liase with KCI facilities team regarding building matters
  • Respond to and resolve administrative inquiries and questions
  • Prepare agendas and schedules for meetings
  • Effectively communicate with all staff to ensure they are aware of any updates regarding administrative matters
  • Support SVP of People and Culture in addition to SVP of Business Operations & GM of Kraken Community Iceplex in employee engagement initiatives
  • Assist People and Culture team with recruiting and onboarding
    • Coordinate interviews with candidates and hiring teams
    • Prepare office space for a warm welcome
    • Create welcome slides for digital signage
    • Manage access badge and Orca card distribution
  • Coordinate and schedule meetings for People and Culture team as necessary
  • Perform other related duties as assigned

 

Required Experience & Qualifications:

  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Proficient in Microsoft Office Suite
  • Excellent organizational skills and attention to detail
  • Strong verbal and written communication skills, with an expert ability to present and communicate new ideas and concepts
  • Extremely organized and detail-oriented, resourceful, quick learner, and able to handle multiple projects simultaneously
  • Ability to work independently
  • A high degree of personal integrity and consistently put the interests of the organization first
  • Must be a fierce communicator and cross-organizational collaborator
  • Three to five years of experience in an administrative role

 

Working Conditions:

  • Minimal Travel (<10% travel): May be required to travel. Trips may require air travel and/or overnight stay away from home for one or more nights.
  • Must be able to work a flexible schedule inclusive of weekends, nights and holidays as necessary
  • Frequent bending, lifting 15-20 pounds, sitting, exposure to multiple external elements, extensive walking through the building including inclines and stairs.
