Manage all conference & event logistics related to all USTA meetings and events facilitated by the Office of the President, Meetings & Conferences Department. Proof of Covid Vaccination required.
Responsibilities
  • Manage all planning logistics and on-site execution for the Leadership Meeting and Annual Meeting, and other events. Assist with board meeting logistics as
  • Serve as a resource on contract and meeting management within USTA. Manage all vendor and hotel contracts for cross-functional team events as approved by Department Director
  • Manage the following process with key contributors responsible for: 
    • Registration process (both pre- and on-site registration) 
    • Marketing materials, program collateral and communication 
    • Internal communication and workshop updates 
    • Reconciliation of invoices and hotel bills 
  • Manage conference staff responsible for all logistical and on-site hotel details for all meetings and oversee the onsite registration process
  • Manage pre- and post-event evaluation surveys. Evaluate efficiency and effectiveness of conference on attendees and participants and recommend potential improvements. Propose to automate the appropriate services and
  • Manage the reservation process and hotel logistics for the US Open block as directed by the USTA President and Department Director.
  • Manage all industry partner events held in conjunction with our major meetings and events, including but not limited to TIA, USPTA, ITHF annual Assist Department Director with management of Grand Slam hotel requirements and special events as needed. 
  • Assist the Department Director with the budget and fulfillment activities for the USTA President gifting program.  Oversee the fulfillment process for all events, international travel, grand slams and board meetings.
  • Under the direction of the Department Director, manage the on-site operations of the President’s Suite during the US Open.  Supervise seasonal staff as required. 
Qualifications
  • Bachelor’s Degree and/or 5 years’ experience working in events and conference management.
  • Demonstrated ability in handling multiple tasks and coordinating
  • Strong proficiency in time management; able to manage project calendars and tasks in a timely fashion, demonstrated self-starter and able to work independently as well as in
  • Strong verbal and written communication skills
  • Outstanding customer service skills and interpersonal skills.
  • Ability to deal with difficult people, situations and encounters with the utmost diplomacy and tact while still obtaining results.
  • Discreet, well-organized and dependable.
  • Strong PC skills, including MS Office, Google Suite.  Cvent and other meeting management platform experience a plus.
