Administration/General Management: Administrative/Executive Assistant
Assist  in day-to-day operational activities for Community Tennis, providing administrative and clerical support 
  • Perform general administrative tasks in support of Community Tennis key initiatives.
  • Provide administrative support to the Engagement/Services & Recreational Competition teams. Supporting program managers as needed.
  • Conference & meeting support - coordinate logistics for small to moderate-sized receptions, conferences meetings including guest list management, site selection, shipping & receiving, contracting meeting space, group reservations, meeting recaps, and mailings.
  • Provide onsite support at National Campus events; player check-in, prepare & distribute participant packages/bags, organize equipment, assist in tournament desk operations.
  • Coordinate travel arrangements, conference calls and meetings, as well as maintenance of follow-up materials.
  • Create and edit various documents such as agendas, letters, meeting summaries, requisition forms, monthly reports, dashboard goals, surveys, events calendars, presentations, etc.
  • Compile and generate statistical reports on program activities (TC, JTT, JC, Play Tracker, Jr Tournaments, etc.). Maintain accuracy of group databases, distribution lists, and websites.
  • Provide digital assistance with virtual meetings, webinars, and trainings by establishing registration details, backend support/navigation, presentation development, and recording distribution associated with Zoom Meetings and virtual conferences.
  • Collaborative support and additional duties surrounding CRM, Showpad Sales Enablement System, and TSR Learning site.
  • Perform tasks such as scanning documents, making copies, opening/sorting mail, shipping packages.
  • Maintain attendance records for CT departments; tracking & reporting.
  • Work within Concur to process invoices, check requests, purchase orders, and travel expense reimbursements.
Qualifications
  • Administrative experience of 2 years and/or internships
  • Intermediate to Advanced proficiency in Microsoft Suite & G-Suite (Gmail, Calendar, Drive, Docs, Sheets, Slides, Forms), Adobe Photoshop, and virtual meeting platforms such as Zoom & Google Meet.
  • Possess the ability to learn & manipulate new programs and processes.
  • Interpersonal & organizational skills - clear, friendly written and verbal communicator with extreme attention to detail.
