Administration/General Management: Administrative/Executive Assistant


The Miami Dolphins/Hard Rock Stadium organization is looking for an administrative professional to join the team as an Executive Assistant in business operations.

The Executive Assistant will provide executive-level support and perform a broad-range of administrative duties to business executives (collectively, the “Executives”).

• Calendars
• Managing calendar for the Executives to efficiently balance their accessibility to those within and outside of their organization
• Managing master calendar for the Executives’ respective departments
• Setting up in-person meetings and web and teleconference calls
• Communication
• Discreetly handling highly confidential information on a regular basis
• Handling incoming phone calls and correspondence
• Identifying and prioritizing items for action
• Initiating the provision of materials needed by each Executive for meetings, presentations, travel, etc.
• Being familiar with the unique aspects of each Executive’s department and responsibilities to effectively process incoming information
• Preparing correspondence, reports, agendas, presentations
• Administration / Technology
• Coordinating all aspects of Executives’ travel arrangements
• Timely and accurate preparation and processing of Executives’ expense reports
• Timely processing and payment of invoices
• Scanning and filing of documents
• Managing Executives’ event ticketing needs and requests and event-day needs
• Providing technological support with respect to Microsoft Office, meetings, webcasts and conference calls
• Assisting with coordinating department events and other special projects and duties as assigned
• Other duties as assigned

Desired Qualifications:
• 2-year degree – Bachelor’s degree preferred
• Available to work Miami Dolphins home games and event days/nights
• Available to work in the office and/or remotely if needed in evenings and on weekends
• Organized and detail oriented
• Flexible and able to adapt to changing needs and time pressures
• Ability to build strong relationships with peers as well as senior executives
• Ability to anticipate needs and proactively offer solutions
• Ability to handle confidential information
• Working knowledge of the internet and technology skills
• Proofing and editing skills
• Proficiency in Microsoft Office including Word, PowerPoint, Excel, Access and Outlook
• Excellent time management skills
• Ability to work accurately and effectively under pressure and on multiple projects simultaneously
• Strong computer skills with heavy experience using Microsoft Office products such as Outlook, Word and Excel
• Excellent verbal and written communication skills including grammatical, editing and proofreading skills
• Excellent interpersonal skills with ability to work with a variety of leadership styles and diverse personalities.
• Ability to effectively work with internal and external clients, including government officials, with a positive customer service- oriented attitude
