TITLE:  Facility Coordinator

QUALIFICATIONS:  Bachelors of Science Degree.  Experience in property/construction management preferred. Engineering background is preferred.
  • Ability to communicate effectively, both verbally and in writing, with facility sub-contracted service providers and employees. 
  • Ability to apply mechanical problem-solving techniques to identified problems or assigned projects/objectives. 
  • Ability to maintain a priority focus and schedules of assignments and communicate those priorities and schedules. 
  • Basic understanding of techniques for minor repairs to, and maintenance of, systems, equipment and buildings. 
  • Work schedule flexibility. 
  • Ability to read and understand Blueprints and Specifications.
TO WHOM RESPONSIBLE:  Director of Facilities and Construction
The Facilities Coordinator requires a skill set for construction, reconstruction, upkeep and repair of all physical assets, grounds and landscaping, systems monitoring heating, ventilating and air conditioning, plumbing, custodial, trash removal and recycling, compliance with state inspections, security pest control and kitchen equipment. 
Responsible for the overall maintenance and operational functionality of the Physical Buildings, Grounds, Property, and Vehicles.  Also serve as site contact for sub-contracted maintenance and repair services including supervising the janitorial crews to provide safe and well-maintained properties. 
Purchase, receive, inventory and distribute facility supplies to all locations. Purchase, assemble and repair or keep in good workable order facility furniture and equipment.  Provide assistance in creating efficient operational systems and maintain equipment as needed and/or provide maintenance programs. Responsible for periodic, scheduled maintenance on production equipment including preventive maintenance activities to ensure maximum efficiency and life of equipment. 
Maintain a schedule and ensure completion of the various maintenance/repair needed.  Conduct or schedule preventive maintenance activities to ensure maximum efficiency and life of vehicles.  Ensure proper licensing of all vehicles. 
Maintain agency spill kits and first aid kits for sub-contractors and facility personnel and schedule inspections to ensure continuous adequacy/completeness of contents.  Repair permanent and temporary walls, moldings, and ceilings. Monitor inside and outside lighting needs and replace light bulbs as needed.  Touch up painting, as needed, and secure contractors for large (full room) painting tasks scheduled for shutdown periods.  Maintain (not repair) plumbing system - sink and floor drains, toilets, garbage disposals, outside spigots, etc.  Obtain quotes from contractors for larger installations/repairs as needed as reviewed by the Director of Facilities and Construction.    
Maintain own certification as instructor and certify fork lift drivers as needed.  Coordinate quarterly CLEAN audits of facilities.  Maintain MSDS (Material Data Safety Sheet) binders at applicable locations. Schedule and complete periodic facilities assessments to identify short and long term maintenance/improvement projects. Establish and follow facility and vehicle maintenance schedules. Maintain and log billings on a monthly basis on spreadsheets and cost forecasts. Scheduling preventative maintenance, responding to urgent maintenance calls, participating in the creation of emergency preparedness plans, applying for required environmental permits, reviewing furniture needs and keeping the office supply and kitchen areas stocked.
Responsible for periodic (scheduled) assessments and inspections of the items listed below to ensure frequency of contracted service is sufficient for effective operations. Have an understanding on how these systems work.  Also responsible for the contacting, monitoring and inspection of work performed by sub-contractors and for reporting any instance where performance/results have not met established standards.

  • Ability to balance, crawl, bend, stoop, walk, kneel, stand, sit, stretch, and climb 
  • Ability to reach overhead and in front, lift and carry varying weights 
  • Ability to push or pull up to 300 pounds
  • Must have a current valid driver’s license and a good driving record
