POSITION SUMMARY:
 The Membership Associate is a part-time position that plays a critical role in delivering exceptional, professional and warm service to members (current and prospective) and visitors, proficiently executes operational and administrative functions, aides in the retention of membership base, and supports the Membership Manager as needed.  This position is located in Frisco, Texas and reports directly to Formation’s Membership Manager.
 
KEY AREAS OF RESPONSIBILITY:
  •  Greeting and assisting members and guests, in person, on the phone and in written correspondence, by delivering a professional, positive, and warm first and lasting impression.
  •  Maintaining a detailed understanding of all membership offerings and associated amenities, assisting members in activating their membership(s) and utilizing amenities to drive a positive member experience and high retention levels.
  •  Responding to member inquiries, requests, and feedback in a highly engaged, positive and professional, and solution-oriented manner.
  •  Contributing to a great team culture that is reflective of the Dallas Cowboys’ values of Integrity, Passion, Community, Teamwork, and Excellence.  Acting in the best interest of the customers, the team, and the business with consistency.
  •  Responsibility for effective day-to-day operational items including: 
    • Conducting daily opening and closing procedures. 
    • Walking space regularly to ensure a clean, orderly, and aesthetically pleasing presentation of the space, as well as track usage rates and interact with member 
    • Identifying service needs and coordinating service requests, appointments, and invoice processing with vendors.  Examples include: janitorial, facility management, furniture, catering, floral, technology and audio-visual. 
    • Maintaining a regular cadence of communication to business partners to ensure amenities remain easily accessible and exclusively available to current members.  Examples include Lincoln -Property Management, Cowboys Club, Cowboys Fit, Legends, Cowboys Pro Shops, Cowboys Golf Club and others. 
    • Planning and coordinating logistical aspects of member events and amenities, including networking functions, social and digital media, speaking engagements, headshots, luncheons, and other surprise and delight occasions. 
  • Responsible for the efficiency and accuracy of administrative tasks including: 
    • Maintaining accurate member records within management software. 
    • Documenting and facilitating member move in, orientation, and move out process. 
    • Assisting members on an as needed basis in the booking of conference rooms, as well as troubleshooting internet connectivity, printing, and other processes. 
    • Preparing and distributing various daily reports and other as requested reporting. 
    • Assisting Membership Manager with invoicing, payables, receivables, and collections. 
    • Receiving, sorting, and distributing mail and packages. 
    • Facilitating member badge and/or key distribution and collection. 
    • Ordering and maintaining adequate inventory of office supplies and ensuring communal spaces remain stocked for member use and enjoyment. 
  •  Supporting business revenue growth through high levels of communication and collaboration with Sales Consultant(s) to generate referrals, assist with tours, and present opportunities for upgrades/adds to existing membership agreements.  
  • Additional duties as assigned.  Given the entrepreneurial nature and growth spirit of our organization, employees should expect evolving business needs.   

REQUIRED EXPERIENCE, SKILLS, & COMPETENCIES
 The following experience, skills, and competencies are required to successfully fulfill the role and expectation of Formation’s Membership Associate.
 
Experience
  • Minimum of 2 years of experience in a fast-paced professional office environment.
  • Minimum of 2 years of experience in roles with operations, administrative, and/or customer relations functions.  Examples include: administrative assistant, receptionist, concierge, client service and/or office management.
  • Previous role with client-facing responsibilities required.
  • Track record of success working with executive level clientele.
 
Skills
  • Distinguished communication skills, both verbal and written.
  • Superb organizational skills, including time management, prioritization, and multi-tasking.
  • Exceptional customer service acumen, including the ability to remain calm in high pressure or continually evolving environments and find mutually agreeable solutions.
  • Simultaneous ability to work well independently while contribute to a small yet high-functioning team.
  • Ability to operate basic office equipment such as phone, computer, printer.  Strong working knowledge of Microsoft Outlook, Word, Excel, and PowerPoint.  High aptitude for learning other programs, including management software system, LaserFische, and DocuSign.
