NCSA College Recruiting is seeking an Operations Manager/Executive Assistant who will be responsible for maintaining and growing programs across the organization and ensuring that the plans and priorities of the President are effectively coordinated and executed in a fast-paced, ever-changing environment.

Job Details: 

Reporting to the President, this highly skilled professional and project manager will balance the demands of assisting with day-to-day tasks, scheduling, oversight of key company initiatives, coordination of a physical office and large remote-first workforce, managing an administrative team, event planning, and more. The person who fills this role must be an extremely adept problem solver who can anticipate needs and deliver high-quality work under tight deadlines with an ability to remain poised in a fast-paced environment. Most importantly, this individual must be a great team player who works well independently and also loves to collaborate, remains poised under pressure, and possesses a positive, can-do attitude. The right candidate loves a diverse set of responsibilities, can knock out a to-do list yet is also a self-starter.  

What You Will Do:

  • Provide administrative support to the President, including:

    • Scheduling and calendar management

    • Travel arrangements

    • Manage agenda and process for executive and management meetings

    • Maintain and run various daily and weekly reports and updates

    • Assist with customer correspondence

  • Lead and manage the Office Assistant/administrative team to ensure flawless execution of office presence

  • Manage operations at Chicago and Las Vegas offices, including coordination of catering for various events

  • Oversee multiple executive-level priorities at any given time in coordination with various stakeholders across the organization, and provide regular updates to President and other key executives 

  • Execute ongoing projects to help improve and elevate operations and processes 

  • Serve as liaison and provide administrative support as needed to executive team

  • Create and oversee general office budget including snacks, team lunches, company events, branded gear, and other items 

  • Oversee company culture events such as Turkey Bowl, Holiday Party, various department off-sites and others 

  • Work directly with Athleadership team to support and enhance programming 

  • Handle access to confidential documents and information in an appropriate, professional and mature manner 

Who You Are:

  • Minimum three years of related experience 

  • Minimum one year of people leadership experience

  • Ability to work flexible hours as needed

  • Advanced knowledge of MS Office Suite and other tech tools

  • Team player with strong problem-solving skills 

  • Extremely organized and detail oriented 

  • Experience planning large scale events 

  • Experience supporting key executive 

  • Project management experience and certification a plus 

  • Winning attitude

  • Unflappable

  • Former college athlete preferred
