Administration/General Management: Administrative/Executive Assistant
I. SUMMARY

Under general direction and supervision, this position is responsible for providing administrative support to senior leadership. This position will be expected to answer incoming calls, maintain an updated calendar for meetings and other functions, organize and prepare collateral, book travel arrangements, prepare and edit correspondence, and handle incoming correspondence and special requests. The incumbent must possess and demonstrate strong independent reasoning and problem solving skills and the ability to exercise sound judgement regarding confidential matters, in addition to being detail oriented and extremely organized. The incumbent should always be five steps ahead, thinking proactively and suggesting new ways to contribute while maintaining a positive attitude.

II. ESSENTIAL DUTIES AND RESPONSIBILITIES

• Manage Microsoft Outlook calendar (scheduling both internal and external meetings);
• Confirm locations, attendees, and times for internal and external meetings;
• Answer and filter incoming calls;
• Make any required travel arrangements (tickets, itineraries etc.);
• Compile and organize documentation for review/ approval by senior leadership;
• Screen incoming correspondence and respond independently;
• Prepare and edit outgoing correspondence to include email messages, memos, etc.;
• Maintain proper/professional decorum;
• Handle special requests for clients, which may include game tickets, tickets to other events, merchandise, gifts, etc.;
• May have to attend Brooklyn Nets home games and select Arena events to facilitate relationship building and provide support to senior leadership
• Could be involved in projects such as monthly expense reports;
• Perform other duties as assigned.

A. Education and/or Experience
• Bachelor’s Degree or Associates Degree required;
• Some familiarity working in an office environment is required, preferably in an administrative capacity
• Experience working in the entertainment industry is preferred.

B. Knowledge/Skills/Abilities 
• Must have strong familiarity with Microsoft Excel, Word, PowerPoint and Outlook;
• Must have an uncompromised ability to protect the confidentiality and privacy of others in addition to company documents and records when privy to sensitive information;
• Must have flexibility to work late hours, early mornings and/or weekends as needed;
• Must have strong independent thinking, reasoning, problem solving and decision making skills;
• Must have the ability to maintain an impeccable professional appearance;
• Must possess a strong ability to manage one’s own time, prioritize tasks when given clearly defined goals and objectives and be self-directed and able to work independently;
• Must have a strong sense of self-awareness and emotional intelligence;
• Must have truly outstanding customer service and interpersonal communication skills;
• Must be flexible & reliable team player, both within own department and within company as a whole;
• Strong communication skills: must be comfortable with engaging in a variety of different communicative modes (verbal, non-verbal, and written) and being attuned to others through strong active listening skills;

IV. WORKING CONDITIONS

A. Travel Requirements
Infrequent Traveler (<5% travel): The incumbent may be required to travel on a very limited basis. Trips may require air travel and/or overnight stay away from home for one or more nights.

B. Physical Demands
This position requires the ability to lift up to 10 pounds.

C. Work Environment
The incumbent will spend the majority of his/her time at Corporate Headquarters, but will work from Barclays Center on occasion. He/she will be expected to attend Brooklyn Nets games at the Barclays Center, as well as other events that may take place on weekends and/or holidays.
