Administration/General Management: Administrative/Executive Assistant
The Brewers Community Foundation is the charitable arm of Milwaukee Brewers Baseball Club, and harnesses the pride, passion and commitment of Brewers fans, players and other supporters to positively impact the lives of children and their families in Greater Milwaukee and Wisconsin. This position is responsible for maintaining essential compliance related to the 501 c (3) status of Brewers Community Foundation as well as providing high level administrative support to the Executive Director and BCF staff. 

Essential Duties and Responsibilities include the following. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  Other duties may be assigned.
  • Maintain requirements related to 501c (3) status (nonprofit) including but not limited to requirements outlined for Sales and Use of Tax, contributions provided in section 170 of the Federal Code, monitoring of public support tests, annual filing, etc.
  • Assist with audit responsibilities and other licensing requirements
  • Process all correspondence and inquiries for Foundation operations (acknowledgement letters, fan inquiries etc.)
  • Liaison to Finance Department e.g. Accounting related activities – credit card processing, track/maintain fundraising activities, preparation of weekly documentation for all departmental deposits and invoicing including 50/50 raffle, contributions/donations, special events, player and wives contributions etc.
  • Supports activities related to BCF Board and Leadership Council including, but not limited to preparing materials for quarterly board meetings, supporting annual audit requirements, facilitating agreements for sponsorship, etc.
  • Maintain and update Executive Director Outlook calendar and schedule
  • Manage internal database to ensure high accuracy of donor information for correspondence and compliance driven acknowledgement letters.
  • Manages Brewers Community Foundation scholarship program which includes: Selig Scholars, Player/Coaches, Bonan and Miller Park Community Scholars
  • Work with external vendors to obtain needed items for BCF operations including special events, signage, etc.
  • Manage administrative tasks associated with Community Relations activities, Brewers Buddies and player involvement e.g. payroll deduction, spring training preparation etc.
  • Schedule and assist with day of game activities and pregame events including concourse kiosk
  • Facilitate sponsorship agreements for BCF partners e.g. Leadership Council, Special Event Sponsors
  • Coordinate travel and expenses for Executive Director
  • Order and maintain office supplies
  • Manage general filing

Education and/or Experience
Bachelor's degree (B. A.) from four-year college or university or five plus years of applied experience. Working knowledge of support for a 501c (3) entity; or equivalent combination of education and experience.
Computer Skills  
To perform the job successfully, an individual should have knowledge of Microsoft office software including Word, Excel, PowerPoint, Access, Outlook, and Internet Explorer.    
Language Skills                                                
Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills                                                     
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability      
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

Work Hours                                                     
Business hours are Monday – Friday 9 am – 5pm, however, additional hours will be required on weekends, evenings and some holidays, including (but not limited to) home game days and special events.
