Administration/General Management: Administrative/Executive Assistant

Overview:
Under general direction, performs a wide variety of responsible, confidential, and complex administrative, technical, programmatic, and secretarial duties; participates in the development, implementation, and administration of administrative policies and procedures for assigned area; performs a limited amount of accounting and sales duties.

Responsibilities:
  • Provide administrative support to the Office/Sales Manager including inquiry response, maintaining calendars, scheduling meetings, and compiling reports
  • Submit new vendor and new customer requests
  • Maintain and prepare files, filing system for records, reports and other documents
  • Process checks and incoming invoices
  • Assist to maintain and update social media accounts and website as needed.
  • Prepare outgoing mail with necessary postage; sends and receives email as needed
  • Perform general administrative functions including faxing, photocopying, mail distribution, maintain office supply inventory
  • Answer, screen and direct calls; screen visitors; receive guests
  • Work cooperatively with other department staff on projects of mutual interest
  • Meetings – assist with BEO, sales and marketing meetings and staff meetings
  • Work in conjunction with Office/Sales Manager to submit weekly and month sales information
  • Assist as needed with event proposals, preparation and production
  • Perform other duties as required 

Qualifications:
  • High School Diploma or equivalent GED
  • Minimum of 2 years of administrative/secretarial experience
  • Proficiency in word processing and related applications, including Microsoft Office (Word, Excel, etc.)
  • Proficiency in Internet research, social media and website maintenance skills
  • Highly developed verbal and written communication skills 
  • Excellent organizational skills, detail-oriented with ability to handle multiple assignments         
  • Provide a high level of professional and courteous customer service 
  • Respond to staff, client and community requests in a timely and professional manner
  • Manage multiple tasks simultaneously
  • Ability to maintain highly confidential information is required
  • Establish and maintain effective working relationships with staff, contractors, and clients
  • Must possess strong planning, organization, and prioritization skills
  • Understand and follow written /oral instructions
  • Work effectively and efficiently in groups and independently to complete tasks
  • Proficient in the use of Microsoft Office applications and internet applications
  • Communicate clearly and concisely in the English language, both orally and in writing
