Overview
The art of meeting begins at the iconic Miami Beach Convention Center Campus; where global business and creative collaboration get a spark of tropical inspiration. Nestled in the heart of Miami Beach, the state-of-the-art convention center offers flexible special event and exhibition spaces near beautiful beaches, fine dining and 5-star resorts. We are looking for an events and hospitality professional to join our team as Event Manager!
 
The Event Manager will manage the event planning and execution of conferences, trade shows, meetings, exhibitions, social events, and special projects to achieve business objectives, including oversight of events ranging from 50-50,000 attendees. 
 
The successful candidate will develop and manage a comprehensive operation plan for all setup tasks, floorplans, estimates, and gather intel on construction of exhibits, displays, and events, as well as oversee vendors and service providers to meet event expectations and goals.
 
The successful candidate will also be required to quickly develop knowledge of the MBCC Convention Center Campus Services Operations, venue, and Partner services needed to successfully execute an event. In addition, the Event Manager will work closely with Sales, Marketing, Venue Operations, Event Operations, Security, Finance, Human Resources, Venue Partners, and Stakeholders to strategically plan and successfully execute all event activity.
 
This role will pay a wage of $50,000 to $55,000.

Responsibilities
  • Responsible for the coordination of P2, P3, Social and In-house event related needs.
  • Acts as the central contact during all phases of event management for clients and contractors of the Center and will be tasked with acquiring and disseminating event and venue related information.
  • Receives, assembles, and distributes event information via resumes to the MBCC team members in order to facilitate efficient and satisfactory completion of client requirements.
  • Oversees and manages all event related services provided by the venue to ensure that our clients expectations are met.
  • Works with the Director of Events to ensure that MBCC team members and clients are familiar with safety and emergency procedures during events.
  • Coordinate and utilize the event records management system (Ungerboeck) for all phases of event planning and operation.
  • Works with MBCC team members to develop and maintain a positive customer service level.
  • Handles the coordination of specific events with respect to Event Work Orders and Event Change Orders to ensure that all extra billable items are passed through to the Finance Department.
  • Ensure that all clients and contractors are familiar with building policies, procedures, rules, and regulations and that they are properly and appropriately enforced for events directly assigned.
  • Provides on-floor management of Center event-related services and ensures that all requirements are carried out according to the Show Manger’s needs.
  • Set up and coordinate all primary and pre-event meetings with client team and Convention Center staff.
  • Provides a complete schedule and record for all show related activity on-site via the resume.
  • Experience with the budget management and maintain strong vendor relationships.
  • Conduct pre, during and post walkthroughs to ensure cleanliness, proper setup and safety requirements are met.
  • Guide clients in preparation of events by interpreting and explaining contract provisions, policies and procedures.
  • Works with IATSE to coordinate AV labor requirements, generate an estimate, and collecting deposit for AV labor. 
  • Provide exceptional service to current and future clients to ensure successful events.
  • Constant communication with clients in order to plan and organize all event related logistics.
  • Ensure that all resumes from the are sent out at least two weeks prior to load-in and participate the event weekly production meeting to update and answer questions prior to event load-in.
  • Ensure that daily post reports are sent out to MBCC team members during load-in, event days and load out by all event managers.
  • Ensure that the event communication sheet is sent out via email to “All MBCC Users” prior to doors opening each event day for all events.
  • Proficient in forecasting, financial management, and database management.
  • Prepare post event settlement in coordination with the finance department with 7-10 business day after the last contracted date.
  • Other duties and responsabilities as assigned.

SUPERVISORY RESPONSIBILITIES:
This job has no supervisory responsibilities.

Qualifications

EDUCATION AND EXPERIENCE:
  • Bachelor’s degree from four-year College or university in Event Management, Hospitality, or related industry.
  • Two to three years of event management experience or related public relations, marketing, etc.
  • Working knowledge of the principles of facility management, services and equipment for a similar facility.

SKILLS AND ABILITIES:
  • Strong interpersonal, organizational and customer service skills required.
  • Excellent oral, written, and presentation skills.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Demonstrate problem-solving and communication skills.
  • Bilingual- English/ Spanish highly desired
 
COMPUTER SKILLS:
  • Demonstrated proficiency with Microsoft Office Suite (MS Word, MS Excel, MS PowerPoint and MS SharePoint and MS Outlook) 
  • Knowledge of Ungerboeck, Social Tables, AutoCAD, Vector or a related event management and design software programs.

CERTIFICATES, LICENSES, REGISTRATIONS:
  • Certified Meeting Professional Certification (CMP) is preferred, but nor required.

WORK SCHEDULE: 
The work schedule of this position typically involves a 5-day work week Monday through Friday; however, this will fluctuate based upon the needs of the community, a project and/or events. Must have the ability to remain available 7 days per week, work long and irregular hours that may vary due to functions and may include days, evenings, weekends, and holidays.
