Position Summary/Objective:

The candidate will provide professional, confidential administrative support to the PBR Executive Leadership Team. The candidate will report directly to the Executive Administrative Assistant, as well as have indirect reporting responsibilities to the President of Core Business and President of PBR Properties.  The position’s responsibilities will include providing administrative and office support of the day-to-day activities for the Executive Officers and assisting in facilitating the efficient operation of the organization. 

The ideal candidate will be a highly trustworthy, loyal, hardworking professional who is team-oriented, agile, proactive, and intuitive.  The candidate should be self-confident and energetic, which a can-do attitude and strong interpersonal skills.

Essential Duties & Key Responsibilities:

  • General office duties, including but not limited to, calendar management as well as handling incoming and outgoing correspondence.
  • Coordinate all aspects of travel for the President of Core Business and President of PBR Properties and any member of the Executive Leadership Team as requested to include, flights, car rental, shuttle service, hotel, etc.
  • Maintain schedules, including but not limited to appointments, lunches, meetings, travel, events, etc. directly for the Chief Operating Officer, Leadership Management Team and any additional staff requests.
  • Resolve administrative problems and inquiries from Admin and PBR Direct email.
  • Reconcile and prepare expense reports as requested for the Executive Leadership Team.
  • Liaison between departments to keep the flow of projects running smoothly and assists with any project requests.
  • Utilizes time management skills to improve workflow and simplify reporting procedures.
  • Meeting coordination and preparation for presentations involving senior-level leadership.
  • Provide backup administration support for the Executive Administrative Assistant when needed.
  • Responsible for replenishing office supplies, maintaining and organizing the office and supply closet.
  • Support the facilities team by assisting with office operations, overseeing facilities maintenance, procuring office supplies, maintaining equipment, and fostering positive vendor relationships.
  • Interact with colleagues and visitors in a timely and courteous manner.
  • Assist with administrative HR functions, including I9 verification, maintaining and updating employee records as requested.  
  • Aide in coordinating company-wide parties and events.
  • Provide VIP support services for clients and business partners in the Ft. Worth area when necessary and around major events.
  • Some event travel may be required.
  • Ad hoc projects and other duties as required.

Qualifications:

  • 3+ years of experience in an administrative role in a corporate environment working directly with C-Suite Executives.
  • Strong skills in MS Outlook, Word, Excel, and PowerPoint. Prior experience with Microsoft Teams, SharePoint and OneNote highly desirable.
  • Responsible, reliable, and credible, with proven track record of working with confident information.
  • Strong competence in project management: the ability to plan, track and drive projects to completion.
  • Excellent interpersonal, organization and communications skills both verbal and written.
  • Able to interact well with employees and business partners of all levels and backgrounds.
  • Self-motivated, proactive, and able to work both independently and collaboratively using good business judgement and common sense.
  • Detail-oriented but able to multi-task.
  • Flexible to be in the office five days per week. Candidate’s primary office location will be Fort Worth, TX.
  • Bachelor’s degree in Business, Marketing, Communications, Sports Management, or related field – preferred.
